Job Description

WHAT’S THE JOB?

The Operations Coordinator is the on-site executor of systems, processes and plans. This role assists in ensuring daily operations run smoothly by managing schedules, rooming, inventory, reporting, and HSEQ documentation. The Coordinator supports the Lodge Manager and Operations Manager by providing real-time data, conducting audits, and ensuring compliance with SOPs. Working closely with the Lodge Manager, Chef, Housekeeping Supervisor, and Workforce/Travel, the position is responsible for building and publishing schedules, managing rooming and check‑in/out processes, consolidating audits and KPIs, and supporting purchasing and inventory.

This position requires fly-in/fly-out travel from Edmonton, Alberta or Yellowknife, Northwest Territories, to the project site in Nunavut, with potential for weather-related delays or logistical challenges. This is a safety-sensitive position requiring a fit-test and drug and alcohol testing as a condition of employment.

Key Responsibilities:

  • Maintain daily/rotation schedules across departments; align labour to occupancy and service windows
  • Prepare and reconcile flight manifests; coordinate crew changes; communicate delays and update rosters
  • Track LOAs, certifications, and cross-shifts; flag gaps to Lodge Manager, Operations Manager and Workforce
  • Assist with inventory, ordering and receiving, help in maintaining the logs and par levels
  • File incident reports, inspections, and corrective actions
  • Uphold and assist in maintaining the HSEQ program directed by the company and the clients
  • Generate HSEQ reports when needed
  • Consolidate production sheets, meal counts, occupancy, and labour into dashboards
  • File audits (rooms, janitorial, dining rooms and commissary), incident reports, and corrective actions; track closure
  • Prepare client-ready daily/weekly reporting packs; contribute to monthly scorecards
  • Schedule toolbox talks and safety training; record attendance; maintain certification matrix
  • Assist in training of the new team members
  • Keep SOPs, SDS binders, HACCP logs, and water-testing records current and accessible
  • Assist with emergency drill logistics and documentation

Physical Demands:

  • Extended periods of standing, walking, and on-site presence in remote locations.
  • Ability to lift, carry, and move items up to 40–50 lbs.
  • Work in varying environmental conditions, including extreme weather.
  • Travel to multiple sites, including fly-in/fly-out locations.

Working Conditions:

  • Project-based role with primary work in Nunavut, flexibility for remote work when not on-site.
  • Ability to work long shifts and rotational schedules (e.g., 3 weeks on /3 weeks off or similar).
  • Endurance to function effectively in remote northern climates, including extreme cold, wind, or lack of daylight during specific periods.
  • Resilience under isolation conditions—long periods away from home with limited external contact.
  • Fly-in/fly-out arrangement; shared accommodations and meals provided while on-site.
  • Extended periods away from home with possible weather-related travel delays.
  • Must comply with all company and client health, safety, and operational standards.

Qualifications

WHO ARE WE LOOKING FOR?

Required Qualifications:

  • College diploma in hospitality/operations (or equivalent experience).
  • WHMIS and Food Safety (asset); First Aid (asset).
  • Valid driver’s license and ability to travel as required.
  • 3–5+ years in coordination/administration within hospitality/remote camps; rooms/front-desk or scheduling experience preferred.
  • Ability to pass the Drug and Alcohol and Fitness Test is required.
  • Exceptional attention to detail; clear written and verbal communication; customer‑service mindset.
  • Ability to manage competing priorities calmly in a fast-paced, remote environment.

Other Skills and Competencies:

  • Strong client service focus with excellent interpersonal and communication skills.
  • Proficient in Microsoft Office Suite and operational management tools.
  • Strong understanding of Health & Safety compliance.
  • Ability to work independently with minimal direct supervision during remote shifts.
  • Cultural sensitivity and adaptability in diverse team environments, including collaboration with Indigenous and Inuit staff

Operations Coordinators work on a rotational schedule of 3 weeks on/3 weeks off. Site location is in remote setting in Nunavut, requiring air travel to site from the Edmonton airport. You may be required to work nights, weekdays, weekends, and general holidays. Wages are paid on an hourly basis with a starting rate of $25.50 per hour.
