Description
Interactive Brokers (βIBKRβ) is seeking an Office Manager to oversee the day-to-day operations of our Japan office, ensuring efficient office administration and supporting management and staff. The successful candidate should be able to work independently in a fast-paced environment.
Responsibilities
- Manage office operations, including facilities maintenance, office supplies inventory, and vendor relationships
- Coordinate internal and external meetings; prepare conference rooms
- Provide reception duties, including greeting visitors and answering phone calls
- Support HR and IT functions (HR: payroll and tax processing; IT: new hire setups, basic troubleshooting)
- Manage inventory of IT peripherals and facilities hardware
- Maintain accurate records (physical and digital) in accordance with company policies and for auditing purposes
- Assist with the preparation of documents for government offices when required
- Support the implementation of company procedures while adapting them appropriately to the Japanese context
- Ensure compliance with local regulations regarding office administration
- Coordinate office events and team-building activities
- Perform ad hoc administrative projects as assigned
- Maintain global office standards
Requirements
- Bachelorβs degree preferred
- Native-level Japanese language proficiency; business-level English communication skills
- 4+ years of office administration experience in a corporate environment; experience in a multinational environment is a plus
- Familiarity with Japanese labor regulations and office compliance requirements
- Demonstrated experience managing office operations with exceptional accuracy
- Strong computer skills, including Microsoft Office suite (Word, Excel, PowerPoint, Outlook)
- Knowledge of Japanese business etiquette and office practices
- Excellent organizational skills with the ability to prioritize and multitask
- Strong problem-solving skills with a focus on finding efficient, culturally appropriate solutions
- Professional demeanor with strong interpersonal skills
