Role Overview

As the Operations Manager, you will own and optimize backend operational processes that power high-volume customer workflows. You’ll maintain exceptional accuracy across data operations, build reliable process systems, and identify opportunities to streamline and automate tasks. This role is ideal for someone who is methodical, detail-obsessed, and passionate about creating order and scalability.

Your Impact:

Your work ensures the operational backbone of the business runs flawlessly. You will increase data accuracy, improve process efficiency, eliminate bottlenecks, and contribute to building scalable, automated operational infrastructure that supports long-term growth.

Core Responsibilities

1. Daily Operational Execution (40%)

  • Perform high-volume data entry, validation, and QA with near-zero error rates.
  • Monitor and preserve data integrity across customer accounts.
  • Maintain systematic tracking systems to ensure no task or process falls through the cracks.

2. Process Documentation & Standardization (25%)

  • Document workflows and create meticulous SOPs.
  • Standardize validation procedures and recurring workflows.
  • Maintain internal documentation, reports, and operational dashboards.

3. Process Optimization & Analysis (20%)

  • Identify gaps, inefficiencies, and bottlenecks.
  • Analyze recurring issues and propose improvements.
  • Implement small-scale enhancements to increase consistency and reliability.

4. Scaling & Automation Initiatives (15%)

  • Support system configuration and onboarding processes.
  • Identify repetitive tasks eligible for automation.
  • Collaborate with technical teams on low-code/no-code workflow automation.

Must-Haves (Required)

  • 5+ years of experience in operations, administrative support, data management, or similar process-driven roles.
  • Exceptional attention to detail with extremely high accuracy.
  • Strong organizational and time management skills.
  • Comfortable with repetitive, systematic work.
  • Process-first mindset with the ability to identify inefficiencies.
  • Excellent written communication for documentation and cross-functional work.
  • Highly reliable and self-motivated in a remote setting.
  • Comfortable using and learning tools like Google Workspace, databases, project management systems, and workflow tools.

Nice-to-Haves (Preferred)

  • Experience in process automation or working with engineering teams.
  • Familiarity with SQL, APIs, or data management systems.
  • Background in SaaS operations, real estate tech, or homebuilding.
  • Experience using Linear, Jira, Asana, or similar systems.
  • Prior experience with customer data migration or implementation support.
  • Exposure to support platforms like Intercom, Zendesk, or Front.

Tools Proficiency

Required:

  • Google Workspace (Sheets, Docs, Slides, Drive) — advanced proficiency preferred

  • Data Management Tools (spreadsheets, internal databases, operational dashboards)

  • Project Management Systems (Linear, Asana, Jira, Notion, or similar)

  • Process Documentation Tools (Notion, Confluence, internal wikis)

  • Workflow/Automation Tools (Zapier, Make, internal automation systems)

  • Support & Ticketing Platforms (Intercom, Zendesk, Front – nice to have)

  • Basic Technical Tools (CSV editors, data import/export systems)

  • SQL / API familiarity (nice to have; comfort reading or working with structured data)
