Position Summary

The remote Warranty Processing Specialist is responsible for preparing, submitting, and managing warranty labor rate and parts rate increase requests to automotive manufacturers. This role ensures the dealership is reimbursed at competitive rates for warranty repairs by collecting, analyzing, and submitting compliant documentation. The specialist serves as a key liaison between the dealership and the manufacturer to maximize warranty reimbursement opportunities.

Key Responsibilities

  • Review customer pay repair orders (ROs) in our software in accordance with manufacturer and state law requirements.
  • Calculate average labor rates and parts markups based on qualifying ROs.
  • Prepare complete and accurate filing packages for submission to the manufacturer, including supporting documentation, summaries, and required forms.
  • Ensure compliance with manufacturer rules, guidelines, and deadlines to minimize denials.
  • Respond to dealer and/or manufacturer inquiries, requests for clarification, or supplemental documentation in a timely manner.
  • Maintain detailed records of all submissions and communicate filing status to dealership management when necessary.
  • Stay current with manufacturer policy updates and changes related to warranty labor and parts reimbursement.
  • Other duties and special projects assigned or approved by management.

Qualifications & Skills Needed

  • 1-2 years dealership service department experience, such as warranty administration, service advisor, technician, service manager, etc.
  • Proficient in Microsoft Excel and document preparation
  • Ability to interpret and follow manufacturer policies and guidelines
  • Excellent organizational and time management skills
  • Adhere to stringent timelines
  • Strong written and verbal communication abilities
  • Analytical thinking and pattern recognition
  • Administrative accuracy for documentation and record-keeping
  • Problem-solving when handling manufacturer denials or requests for clarification
  • Ability to work independently and manage multiple tasks accurately in a fast-paced environment with minimal supervision

Compensation Range: $45K - $52K/yearly + bonus potential
