Job Description
The Junior Executive - Company Secretary is the entry level. The Junior Executive - Company Secretary combines learning and delivering seamlessly. The Junior Executive - Company Secretary can communicate independently with relevant stakeholders on routine operational matters and is able to resolve issues. The Junior Executive - Company Secretary works closely with the Co Sec who reviews the work as performed.
Tasks:
· Perform all assigned Corporate Secretarial & Administrative duties such as:
- Liaising regularly with internal stakeholders, local bankers and government bodies such as the Mauritius Revenue Authority, Financial Services Commission and Registrar of Companies.
- Ensuring the systematic and timely filing of statuary and financials as required under Mauritian law.
- Ensuring compliance as per the law of Mauritius and rules of the Financial Services Commission and Registrar of Companies.
- General corporate secretarial duties including but not limited to the preparation of board, management committee or shareholder meetings, drafting and reviewing notices, agendas, minutes and resolutions, preparation of board packs, etc.
- Follow ups with relevant stakeholders for their action plans and submissions.
- Assist the internal and external auditors for their audit review.
- Assist during on-site, off-site visits by the local Regulators and completion & submission of FSC Surveys.
- Attending daily KYC request from internal/external stakeholders.
- Maintenance of registers, files and minutes books.
- Assist in any other duty assigned or adhoc projects.
· Escalate or asks for help whenever in doubt. The Associate Executive – Company Secretary knows when to do so without being disruptive. Every escalation / asking for help moment is to be considered a training moment.
· The Associate Executive – Company Secretary is responsible for maintaining the status of all work in the planning system, reporting to the Co Sec in the event that the plan cannot be executed as scheduled, signals to the Co Sec inaccuracies in planning assumptions.
· Quality is a sine qua non for all work assigned. The Associate Executive – Company Secretary is responsible for ensuring that work that is submitted to internal/ external stakeholders contains no defects.
· Perform all simple corporate administrative activities independently and is trained to with the aim to cover the entire spectrum of corporate secretarial and legal work.
· Ensure protections of information assets of IQ-EQ MU and to abide by the ISMS in place at IQ-EQ MU.
Qualifications
Education / professional qualifications
- Degree holder in Law/ & Management from a reputable institution or partly qualified in ICSA
Background experience
- 1-2 years of experience in a similar, Corporate Administration role
Technical
- A sound knowledge of the Mauritian regulatory framework particularly Corporate Law is required.
Computer / program knowledge
- Advanced level of capability of the MS Office Word & Excel
Company, product and market knowledge
Basic secretarial duties

- Fluent in English
