⚖️ Finance & Legal🟠 Manager

Job description

HealthMerch seeks a Financial Manager to own finances end-to-end

At HealthMerch, we help organizations bring their brand to life through promotional products that people actually want to use - not the boring, throwaway stuff. We’re a fast-moving, service-first team that takes pride in making every order feel smooth, predictable, and just a little bit fun.

As we grow, we’re building the kind of backend operations and financial systems that keep everything running cleanly.

That’s where you come in - bringing clarity, discipline, and control to the financial side of the business so we can make smarter decisions, avoid surprises, and scale confidently.

We are looking for a Finance Manager to take full ownership of our finance engine - bringing order, visibility, and predictability to everything that touches money.

Right now, different pieces of the work are happening, but no one is owning the full financial cycle from start to finish. That’s the gap you’ll close. You’ll clean up the books, tighten AR, make month-end dependable, and give us a clear understanding of margins and cash.

In short, you’ll replace financial chaos with a system we can count on. That stability will take a huge load off leadership, reduce fire-fighting, and give every part of the company better information to work with.

In this role, you will:

📘 Own the full month-end close and ensure the books are accurate, clean, and timely

📊 Tighten AR so invoices don’t drift, collections stay consistent, and cash stays healthy

💳 Keep AP organized, manage vendor payments, and maintain strong relationships

🔍 Reconcile everything - ERP, banks, credit cards, processors - catching issues early

🧾 Create daily visibility into AR/AP/cash so leadership stops guessing

🛠️ Fix broken processes inside our ERP and clean up workflows that slow the team down

💡 Improve our margin clarity so we stop under-pricing and start protecting profitability

📈 Build simple forecasting, margin reporting, and cash-flow insights over time

🤝 Coach and support our finance coordinator, providing structure and leadership

📂 Document and optimize processes so finance becomes a predictable system, not chaos

🔄 Collaborate closely with sales, vendors, and leadership to support smart decisions

You’ll report directly to Benjamin Sherman, CEO of HealthMerch.

Fun fact 🙂: Benjamin once built and managed a team selling Obama and McCain condoms on the streets of NYC during the 2008 election - an experience that eventually inspired launching HealthMerch 11 years later!

Working Hours : T his is a full-time role based on Eastern Time, as most of the team is in Miami.

At first, you’ll need to overlap with our finance coordinator’s early hours who is based in South Africa (Mon–Thu: 5am–1pm EST, Fri: 3am–11am EST) to learn the systems and workflows. Once onboarded, you’ll transition to primarily standard EST hours, with some flexibility as long as there’s enough overlap to collaborate effectively with the team. This may be modified by Benjamin.

You’ll be a great fit if you bring:

💼5+ years of hands-on accounting experience (AR/AP, reconciliations, journal entries, month-end close)

🌍 Proven experience working virtually within international or US-based business environments

📚 Controller-level capability in a small or mid-sized business

🏭 Experience in wholesale/distribution/project-based environments

🧩 ERP fluency (Dynamics 365, NetSuite, SAP B1, Acumatica, etc.)

⏱️ Strong AR discipline & collections management

🧮 Exceptional reconciliation skills across all accounts and systems

💵 Awareness of cash flow mechanics and timing

📉 Margin analysis & under-pricing detection

👥 Ability to mentor and elevate one finance team member

🗣️ Clear, calm communicator with clients, vendors, and internal teams

🧭 Process builder who thinks in systems, not band-aid fixes

🚀 High ownership - someone who sees problems early and solves them proactively

Brownie points for:

🔧 Experience with Dynamics 365 Finance

🛠️ ERP migration clean-up experience

👕 Background in promotional products, print, or apparel

🔮 Cash-flow forecasting

💸 Commission calculation workflow experience

🧾 Familiarity with Avalara, PayFabric, Shopify, PayPal

🤖 Automation or AI workflow improvement

🧱 Experience in $3–10M companies

🤝 Vendor negotiation

📊 Basic budgeting/FP&A

📺 Experience building internal dashboards

🤍 A calm, hospitality-driven communication style

You’re the steady, grounded presence who brings order to messy financial environments - calm under pressure, detail-focused without being rigid, and always communicating with clarity and kindness. You take full ownership of your work, think in workflows and structure, and follow through without needing reminders.

You collaborate well, explain financial concepts simply, and hold healthy boundaries without creating friction. You’re curious, improvement-driven, resilient, and discreet with sensitive information. Above all, you keep your ego low, your standards high, and you see finance as a service function that supports the entire company.

What’s in it for you?

💰S alary : $3,500–$4,500 per month, flexible for the right person*

🌴 Paid Time Off : 20 days per year, including 6 aligned with major US holidays and 11 flexible days for vacation, personal time, or sick leave

🕘Stable, long-term role with clear growth potential and a real path toward expanded responsibility and future Head of Finance track
