Job Description

Please note that this role follows an evening schedule (12 p.m. to 9 p.m.) to support production needs.

The VFX Production Assistant IO plays a vital role in supporting the Production team throughout the lifecycle of a project, from the start of production to final delivery. This position ensures the smooth handling of file management and Input/Output (IO) workflows, enabling efficient data exchanges between clients, internal teams, and external vendors. With strong organizational skills and attention to detail, the VFX Production Assistant IO contributes to the efficiency of the production pipeline and ensures the timely processing of media assets.

Key Accountabilities

Production Support

  • Provide daily administrative support, including organizing documents and files, creating playlists, taking meeting notes, and updating databases.

File & Data Management

  • Receive and transfer sensitive project-related materials to and from clients, ensuring they are shared internally with the relevant stakeholders.
  • Utilize the Linux command line IO workflow to download and ingest external materials (plates, references, onset data) onto the Rodeo FX network while ensuring compliance with naming conventions and folder structures.
  • Convert files when necessary to optimize the team’s efficiency in working with ingested materials.
  • Stay up-to-date with technical delivery specifications to ensure compliance.
  • Process, conduct quality checks, and upload versions for client review, ensuring proper submission to designated platforms.
  • Receive, ingest, and distribute client review notes.
  • Support the Production team with show closure by creating playlists and processing materials for breakdowns and publicity.

Outsource and Vendors Collaboration

  • Prepare and upload bid package materials for outsourcing.
  • Download and ingest outsource vendor versions using the Linux command line IO workflow, ensuring adherence to structure and guidelines.
  • Gather internal feedback on outsource vendor versions and upload it to the designated platform.

Technical & Cross-Department Collaboration

  • Assist the Imaging Department in setting up Input/Output (IO) graphs.
  • Work closely with TD Developers, IT, and Render Management teams to troubleshoot technical issues related to data transfers and delivery processes.

Qualifications

  • Experience in an administrative position.
  • Experience with Input/Output (IO) workflows is an asset.
  • Understanding of Visual Effects (VFX) and/or editorial processes is an asset.
  • Strong knowledge of GSuite.
  • Knowledge of Flow Production Tracking (ShotGrid) is an asset.
  • Fluency in Linux commands is an asset.
  • High level of accuracy and attention to detail.
  • Strong organizational skills with the ability to prioritize tasks and meet deadlines.
  • Fast learner with adaptability in a dynamic environment.
  • Collaborative work ethic with excellent communication and teamwork skills.
  • Strong commitment to quality, service, and reliability.

Additional Information

Please note that this role follows an evening schedule (12 p.m. to 9 p.m.) to support production needs.
