Job Summary: The leave of absence specialist position will play a critical role in managing employee leave, accommodations, and benefits administration.
Schedule: While primarily a remote position, employee is required to attend monthly in office cadence in Central office located in New York City.From time to time, additional in-person team meetings may be required as well.
Essential Functions:
Serve as the subject matter expert on leave policies, ADA accommodations, and workers’ compensation, ensuring compliance with federal and state regulations as well as internal policies.
Work closely with HR leadership, third-party leave administrators, payroll, and staff supervisors to facilitate smooth leave processes, support employees through the accommodations process, and provide clear guidance on benefits enrollment and administration.
Requires a detail-oriented and empathetic professional who can balance compliance with employee support while maintaining confidentiality and adhering to privacy laws
Manage all leave of absence (FMLA, STD, LTD, State Benefits, Workers’ Compensation) and ADA requests.
Serve as the subject matter expert for accommodations, all leave of absence, and workers’ compensation until the guidance of HR leadership and the Legal Department.
Maintain appropriate contact with all relevant staff on leave and coordinates all aspects of return to work for staff on leave
Provide regular updates to HR Business Partner and staff supervisors on leaves and accommodations while adhering to HIPAA and other privacy laws.
Manages all administrative aspects of leave and workers’ compensation claims to include response to leave vendor information requests and work closely with the Payroll Department to ensure that benefits arrears payments due upon return for leave is accurate and correct.
Assist with open enrollment and ensure staff are accurately enrolled in all voluntary and ancillary benefits.
Resolve employee issues with insurance providers.
Assist in developing benefits training for managers and staff.
Assist with developing/improving formal leave policies and procedures.
Develop leave reporting dashboard for HR and Management.
Providing ongoing support for the HR and Benefits Teams.
Other duties as assigned by supervisor on an as needed basis.
Qualifications:
3-5 years of experience managing and administering employee leave programs
Must have strong skillset in Microsoft Excel and PowerPoint. Familiarity with SmartSheet a plus.
Strong attention to detail
Must be comfortable interacting with employees via email and phone.
Prior experience with Workday HRIS
Knowledge of all pertinent federal and state regulations, filling and compliance requirements.
Strong communication, interpersonal, and organizational skills.
Strong analytical and problem-solving skills.
Ability to manage multiple projects and deadlines.
Salary Pay Range
$65,000—$70,000 USD
