Job Description

We are seeking a skilled and detail-oriented Workday Specialist/Engineer to join our team. The Workday Specialist/Engineer is responsible for designing, configuring, maintaining, and enhancing the Workday HCM system to meet organizational needs. This role involves working on system integrations, troubleshooting technical issues, and implementing system upgrades while ensuring compliance with data security and privacy regulations.  The ideal candidate will play a pivotal role in managing and optimizing our Workday HCM system to support HR operations, organizational objectives, and integrations with enterprise tools. The Workday Specialist/Engineer will collaborate closely with HR Operations and the Integration team to ensure seamless functionality, data accuracy, and effective system performance.

Key Responsibilities:

System Configuration and Management:

  • Configure user permissions, security roles, and access levels.
  • Create and manage groups, organizational structures, hierarchies, and cost centers.
  • Handle technical configurations for workflows and customize workflows/business processes based on organizational requirements.
  • Manage role assignments and organizational updates for employees.
  • Develop and maintain organizational structures, hierarchies, and cost centers.

Collaboration with HR Service Center:

  • Coordinate with HR Ops to support employee lifecycle events such as onboarding, promotions, and terminations.
  • Provide technical training and documentation for HR and end-users.
  • Ensure Workday configurations align with employee data updates and HR processes.
  • Collaborate on leave and absence management, including policy configurations and reporting.
  • Assist HR Ops in addressing basic troubleshooting and functional questions raised by employees.
  • Support periodic IT related audits of employee data to ensure accuracy and compliance.

Collaboration with the Automation & Integration Team:

  • Assist in design, build, and monitoring of integrations with enterprise tools and third-party systems.
  • Work closely with the Integration team to manage and maintain API connections with enterprise tools.
  • Troubleshoot and resolve integration issues, ensuring data consistency and accuracy in exchange processes.
  • Configure, monitor, and validate data mapping for integrations with systems such as ERP, DataLake, EntraID, LMS, Slack or CRM tools.
  • Assist with large-scale integrations, ensuring seamless connectivity and synchronization.

System Maintenance:

  • Apply regular system patches and updates to ensure optimal performance and security.
  • Back up Workday configurations and data as part of routine maintenance.
  • Monitor system performance and address technical issues promptly.

Enhancements and Feature Implementation:

  • Test and implement minor feature updates or enhancements in collaboration with relevant stakeholders.
  • Collaborate with teams to identify and implement enhancements that improve system functionality and user experience.

Technical Support and Analysis:

  • Conduct root-cause analysis for recurring technical problems and recommend solutions.
  • Provide technical training and detailed documentation to facilitate effective use of the system.

Security and Compliance:

  • Review and enforce compliance with data security and privacy regulations (e.g., GDPR, SOC2).
  • Ensure role-based access controls and permissions comply with regulatory standards.

Qualifications

  • Proven experience working with Workday HCM and modules such as but not limited to Absences, TimeTracking, Help, Journey, Benefits, Learning, Hiring including system configuration, security roles, workflow customization, and integrations.
  • Good knowledge of data models used in Workday HCM and related modules.
  • Strong understanding of HR processes, employee lifecycle management, and organizational structures.
  • Familiarity with data security and privacy regulations (e.g., GDPR, SOC2) and best practices.
  • Demonstrated ability to troubleshoot technical issues, resolve integration problems, and conduct root-cause analysis.
  • Excellent documentation and communication skills to support technical training and collaboration.
  • Analytical mindset with a focus on continuous improvement and efficiency.

Preferred Skills:

  • Degree in Computer Science or related
  • Certification in Workday HCM or related modules is a plus.
  • Experience with implementing Workday updates and patches.
  • Familiarity with enterprise IT systems, integrations, and API management.
  • Strong problem-solving skills, particularly in high-complexity data environments.
  • Experience and knowledge about ITIL and ITSM.
