Work Schedule: US time zone coverage required (EST daytime hours) (8:00 AM – 5:00 PM EST)

Our client is a non-medical homecare services provider operating within the healthcare and homecare services industry. The organization focuses on delivering compassionate, reliable support to individuals who wish to age in place while maintaining dignity, independence, and continuity of care. The company works closely with both clients and caregivers to ensure consistent service quality and operational excellence.

Role Overview

The Homecare Scheduler plays a critical operational role responsible for coordinating caregiver schedules and ensuring uninterrupted care delivery. This position exists to balance client care plans, caregiver availability, and business requirements in a fast-paced healthcare environment. The role is execution-heavy and highly detail-oriented, requiring calm decision-making under pressure. You will work cross-functionally with caregivers, clients, and internal teams to resolve scheduling challenges and maintain accurate operational records. This role is well-suited for someone who is organized, empathetic, and thrives in high-volume, time-sensitive environments..

Your Impact:

You will directly support continuity of care by ensuring clients are consistently matched with qualified caregivers. Your work will reduce missed shifts, scheduling gaps, and last-minute disruptions. You will contribute to accurate billing and payroll processes through precise schedule and timesheet management. By maintaining organized records and resolving conflicts efficiently, you will help improve client satisfaction, caregiver retention, and overall operational efficiency.

Core Responsibilities

Scheduling & Care Coordination – 70%

  • Independently manage caregiver schedules aligned with client care plans, preferences, and coverage needs
  • Match caregivers to clients based on skills, experience, and compatibility, including complex care requirements
  • Monitor and adjust schedules to address emergencies, call-outs, and coverage gaps
  • Communicate schedule updates clearly and promptly to caregivers and clients
  • Serve as the primary point of contact for caregiver availability, assignments, and concerns
  • Address client inquiries related to scheduling and continuity of care
  • Maintain accurate scheduling records within scheduling software systems
  • Resolve scheduling conflicts, caregiver issues, and client complaints in a timely manner

Timesheet, Billing & Reporting Support – 20%

  • Verify caregiver shifts, timesheets, and service codes for payroll and billing accuracy
  • Cross-check pay rates and bill rates against client contracts
  • Generate and review reports related to schedule adherence and caregiver utilization
  • Maintain backup schedule reports to support business continuity

Bookkeeping & Financial Operations – 10%

  • Maintain accurate accounting records using bookkeeping systems
  • Support accounts payable and vendor setup
  • Assist with payroll processing and client invoicing
  • Audit and reconcile financial records to ensure accuracy

Must-Haves (Required)

  • 1–2+ years of experience in scheduling or coordination roles
  • At least 1 year of experience in the healthcare or homecare industry
  • Hands-on experience using scheduling software
  • Ability to manage schedules supporting up to 75 clients and approximately 300 service hours
  • Strong organizational and time-management skills
  • Excellent written and verbal English communication skills
  • Experience with bookkeeping fundamentals, including QuickBooks
  • Familiarity with invoicing and P&L-related processes
  • Ability to remain calm and effective in high-pressure, fast-paced environments

Nice-to-Haves (Preferred)

  • Prior experience in homecare, senior care, or healthcare settings
  • Familiarity with HIPAA compliance and caregiver credentialing processes
  • Bilingual in English and Spanish

  • ClearCare, WellSky, AxisCare, QuickBooks Online, Microsoft Excel, Microsoft Word, Microsoft Outlook, Microsoft PowerPoint, Google Docs, Google Sheets, Google Workspace, Email, Phone, Slack, Microsoft Teams, EHR systems
