What You’ll Actually Be Doing
You won’t just manage documents.
You’ll drive the systems and workflows that keep frontline responders supported and compliant.
You’ll take ownership of:
1. Employee Lifecycle Administration
● Manage end-to-end onboarding and offboarding, from paperwork to systems access
● Coordinate timely activation and deactivation of employee accounts across HR, payroll, and operations platforms
● Ensure certifications, licenses, and compliance documents are validated and filed correctly
2. Recordkeeping & Compliance
● Maintain accurate digital and physical employee records
● Conduct regular audits to ensure data integrity and meet compliance standards
● Track critical deadlines for training, documentation, and renewals
3. Support Ticket & Inquiry Management
● Own the HR support queue via Monday.com, providing timely and helpful responses
● Triage and resolve employee questions about policies, access, and documentation
● Track support resolution times and maintain service level consistency
4. Secure & Streamlined Access
● Use VPN access to handle sensitive documents and platform logins securely
● Coordinate employee onboarding within platforms like Lever (ATS), UKG (HRIS), and TraumaSoft (EMS operations)
● Collaborate with HR and management to streamline internal processes and ensure alignment

Strong HR administration experience with proven ability to manage employee onboarding and offboarding processes.
Healthcare background with understanding of medical certification requirements, medical personnel compliance, and healthcare industry standards.
Experience with HRIS systems, applicant tracking systems, and payroll platforms with ability to navigate multiple software systems efficiently.
Exceptional attention to detail for document validation, compliance tracking, and accurate data entry across multiple platforms.
Strong written and verbal communication skills for handling employee inquiries and providing clear, helpful support responses.
Proactive mindset with ability to take initiative in identifying process improvements and addressing employee needs before they escalate.
Experience working with offshore support models and maintaining data security protocols including VPN usage for sensitive information.
Ability to work during Pacific Standard Time (PST) business hours for seamless collaboration with Bay Area-based team.
