Work Arrangement: Fully remote, overlapping EST working hours

Job Type: Independent Contractor, Full-time

Work Schedule:

Mon to Fri, 9:00 AM – 6:00 PM EST (flexibility to align with patient activity)

Role Overview:

We are seeking a highly motivated, detail-oriented Pre-Enrollment & Patient Engagement Specialist to serve as the first line of communication with prospective patients. This role will be responsible for guiding patients through the initial touchpoints of their journey—driving pre-enrollment completion, fostering trust, and ensuring every patient feels seen, heard, and supported from the first interaction. This is a mission-critical, patient-facing role that blends operational excellence with warmth and empathy

Core Responsibilities:

1. Pre-Enrollment Communication & Conversion

  • Reach out to inbound or referred patients via phone, SMS, and email to initiate pre-enrollment steps.
  • Guide patients through intake forms, pre-consult assessments, and onboarding processes.
  • Ensure all pre-enrollment documentation is completed accurately and on time.

2. Patient Engagement & Relationship-Building

  • Serve as a warm, informed first point of contact, making patients feel confident and supported.
  • Answer questions about the process and set expectations clearly and empathetically.
  • Act as a bridge between patient inquiries and clinical team readiness.

3. Operational Coordination

  • Update and maintain patient data in CRM and health system tools (e.g., Salesforce, HubSpot, EMR platforms).
  • Track pre-enrollment funnel metrics, identify bottlenecks, and escalate issues proactively.
  • Collaborate with Flagler’s internal teams to optimize workflows and ensure patients move through the funnel efficiently.

Non-Negotiables:

  • Excellent written and verbal communication skills in English (neutral accent preferred)
  • Demonstrated experience in healthcare coordination, intake, or patient onboarding
  • Proficiency in CRM tools such as HubSpot and Salesforce
  • Comfort using dialers and SMS tools like OpenPhone or similar platforms
  • Strong attention to detail and ability to track multi-step patient processes
  • Ability to remain calm and solution-oriented in fast-paced, patient-facing situations

Nice-to-Haves:

  • Experience in telehealth, concierge medicine, or multi-provider practices

  • Familiarity with HIPAA compliance and secure messaging standards

  • Comfort working across digital platforms, including spreadsheets, Slack, AI chat interfaces, and dashboards
