Lamark Media is seeking a proactive and detail-oriented Project Manager, Operations to serve as the agency’s primary Workfront Administrator and process traffic controller. This person will ensure adoption, consistency, and discipline across our workflow systems and processes. Reporting to the Associate Director, Operations, the Project Manager will play a critical role in ensuring operational excellence by driving process adherence, managing our work management platform (Workfront), and supporting cross-functional collaboration.
Key Responsibilities:
Workfront System Administration (Primary Focus)
- Serve as the primary System Administrator for Adobe Workfront, overseeing configuration, user roles, permissions, layout templates, dashboards, and reporting
- Partner with department leads to ensure Workfront reflects team-specific workflows while maintaining global standards
- Drive platform adoption by creating and maintaining training materials, onboarding users, and providing ongoing support
- Monitor system usage and proactively identify and address gaps in adoption, usage, and process compliance
- Work with external Workfront consultants or Adobe partners as needed to enhance platform performance and integrations
Operational Process Oversight
- Act as the lead for agency workflow, ensuring that work is initiated, routed, and completed according to established processes
- Monitor and reinforce adherence to intake procedures, project timelines, and task dependencies across all teams
- Identify bottlenecks, inefficiencies, or breakdowns in the process and escalate as needed with suggested solutions
- Collaborate with team leads to improve project intake, prioritization, and resource allocation processes
- Drive consistency across departments by auditing the usage of templates, processes, and naming conventions in Workfront
Collaboration & Change Management
- Lead cross-functional meetings or working sessions to drive Workfront-related initiatives, such as template improvements or new feature rollouts
- Assist with operational change management initiatives, including documentation of standard operating procedures and training guides
- Support the implementation of tools and workflows across departments (eg, onboarding new teams or processes into Workfront)
Qualifications:
- 5+ years of experience in project management, operations, or traffic/resource management, preferably within a marketing or advertising agency
- Experience as a Workfront System Administrator (or similar work/project management tool)
- Strong understanding of agency operations and cross-functional workflows
- Exceptional attention to detail, organizational, and problem-solving skills
- Excellent communication and interpersonal skills – ability to collaborate across diverse teams and levels
- Comfortable leading process training sessions and supporting user adoption initiatives
- Certified Workfront Administrator a plus (or willingness to become certified)
