Peripass is a logistics SaaS scale-up founded in 2016. Our Yard Management Software enables industrial and logistics companies _(think of companies like Bridgestone, Alpro, and Saint-Gobain)_ to smoothly manage the complete flow of trailers rolling on and off their sites, as well as all trailer movements on-site. We are looking for a strategic and highly organized person to join our team as Executive Assistant to our CEO and GTM leadership team. As a fast-growing SaaS scale-up, a lot is going on, and we need a talented centipede to help keep our leadership focused on what truly matters. With multiple priorities competing for attention, you’ll play a crucial role in unblocking the CEO and GTM leaders from the day-to-day by taking ownership of operational, administrative, and strategic support. You’ll handle a mix of day-to-day activities, executive admin tasks, and special projects — not just for the CEO, but also for key GTM leaders (think sales, marketing, customer success). You’ll collaborate with internal stakeholders across the business, and by extension, help keep the broader team running smoothly.
We are looking for someone who has the ability to ramp up quickly when it comes to new information and learning new things, who thrives in a fast-paced, ever-evolving environment, and who takes pride in making things run like clockwork behind the scenes.
As our Senior Executive Assistant, you are responsible for:
Calendar Management: Proactively manage the CEO’s calendar, schedule meetings, and coordinate appointments, ensuring optimal time allocation and prioritization.
Travel Arrangements: Plan and coordinate travel arrangements, including flights, accommodations, ground transportation, and other logistics, considering the CEO’s preferences and business requirements.
Communication and Correspondence: Handle incoming and outgoing communications, including emails, phone calls, and written correspondence on behalf of the CEO. Draft and prepare documents, presentations, and reports as needed.
Event Coordination: Prepare meeting agendas, materials, and presentations for events, off-sites/on-sites, all hands, & customer visits. Attend (leadership) meetings, take accurate minutes, and follow up on action items to ensure timely completion.
Relationship Management: Maintain positive relationships with internal and external stakeholders, including clients, partners, board members, and employees. Facilitate effective communication and act as a liaison between the CEO and various stakeholders.
Information Management: Organize and maintain confidential information, documents, and records. Implement effective document management systems and ensure easy access to relevant information.
Sales Support. Update Sales Materials on a quarterly basis. Provide sales insights by pulling reports from CRM. Act as the Chief of Staff for Sales & Marketing.
Special Projects: Support the CEO or GTM leadership in special projects, strategic initiatives, and ad-hoc assignments. Conduct research, compile data, and provide insights to aid decision-making

Requirements
Come on, blow us away with your credentials! You will, if you have:
5+ years of experience supporting C-level executives, ideally a CEO in a fast-growing (SaaS) environment
Commercial mindset with understanding of sales processes
Strong organizational skills; able to prioritize and multitask effectively
Proactive in spotting and resolving operational/admin issues before they arise
Experience supporting at the management and board level
Excellent written and verbal communication in English and Dutch; professional proficiency in French
Advanced Excel skills (incl. VBA); confident with CRM and Office tools
Sharp eye for clean, clear layouts and presentations
Strong sense of ownership and accountability
Flexible, calm under pressure, and solution-oriented
Discreet and precise when handling sensitive information
Strong interpersonal skills; able to build relationships across all levels
