Position Overview:
TheΒ HR Shared Services Analyst plays a key role in the delivery of scalable, high-quality HR support across the employee lifecycle. This position combines hands-on case management, process execution, and knowledge article maintenance with a focus on identifying trends and driving operational improvements.
The Shared Services Analyst is a key team member responsible for managing complex HR processes; including ownership and management of Verra Mobilityβs immigration program; serving as the primary liaison between internal stakeholders, employees, and external legal counsel. This role ensures compliance, consistency, and a positive experience throughout the sponsorship process.
The ideal candidate is organized, data-driven, and brings a continuous improvement mindset to enhance processes and employee support. They are comfortable navigating ambiguity, working independently, and serving as a connector between employees and HR subject matter experts.
Success in this role requires attention to detail, a high level of discretion when handling sensitive employee information, and a proactive, solution-oriented approach to challenges. This role supports both day-to-day employee needs as well as strategy HR initiatives and is a critical contributor to ensuring excellence in the support experience. This role reports to the Manager of HR Shared Services and is part of the centralized HR Technology and Operations team.
Essential Responsibilities:
- Support the implementation of a new Case Management system and Knowledge Article workspace in Workday, ensuring a seamless experience for both internal HR users and all employees through training, documentation, and process alignment.
- Own the end-to-end coordination of the U.S. immigration process (including PERM, H-1B, and green card filings) by serving as the primary liaison between employees, managers, external immigration counsel, and internal legal and HR partners.
- Maintain and track immigration records, case statuses, deadlines, and required documentation.
- Serve as the first point of contact for employee inquiries, resolving Tier 1 HR cases with a high level of customer service, accuracy, and consistency. Triage, escalate, or reassign inquiries as appropriate to Tier 2 HR Centers of Excellence.
- Identify trends across HR Service data and recommend process or documentation improvements and implement solutions to drive greater efficiency and employee satisfaction.
- Create and maintain content in the employee-facing knowledge base, ensuring content is clear, relevant, and aligned with current processes.
- Collaborate with internal HR stakeholders to stay informed of policy, process, or system changes that impact employee self-service and partner with cross-functional teams to ensure HR operations are completed accurately and efficiently.
- Maintain documentation and support compliance activities, including audits, reporting, employment eligibility verification, and unemployment claims processing.
- Participate in cross-functional projects or improvement initiatives related to HR systems, tools, or support models.
- Ensure sensitive employee information is handled with discretion and in alignment with data privacy policies.
- Ensure compliance with internal controls and data integrity standards.
Qualifications:
2-4 years of experience in HR Shared Services, HR Operations, HR Coordinator or related roles, ideally within a global organization.
Hands-on experience managing U.S. immigration processes or working closely with immigration legal counsel required.
Working knowledge of HR systems and tools.
- Workday experience strongly preferred.
Excellent communication and interpersonal skills; able to interact professionally with employees at all levels.
Strong organizational skills and attention to detail; able to manage multiple workflows independently and prioritize effectively.
Skilled at writing and maintaining clear, concise, and user-friendly HR content, technical guides, and employee resources.
High level of integrity and discretion in handling confidential information.
Proficient with Microsoft Office Suite (Outlook, Word, Excel, Teams, OneNote, etc.).
