Job description
The ProScan Fax Scheduler is responsible for managing incoming fax requests related to imaging orders, ensuring that all documents are accurately processed, renamed, and uploaded into the appropriate system. This role plays a critical part in maintaining the accuracy and efficiency of ProScan’s scheduling workflow by ensuring that all faxed requests are organized and available for review in IndexLogic in a timely manner.
Key Responsibilities:
Fax Management and Scanning
- Receive and scan all incoming fax requests for imaging or scheduling.
- Verify fax clarity, legibility, and completeness before processing.
File Naming and Editing
- Review each scanned document and rename files according to established naming conventions (e.g., patient name, date of service, referring provider, modality).
- Make necessary edits or adjustments to ensure accuracy and standardization across all uploaded requests.
System Upload and Documentation
- Upload processed and correctly named requests into IndexLogic for scheduling and record-keeping.
- Confirm that all documents are uploaded to the correct patient and order folders within the system.
- Perform routine quality checks to ensure files are properly indexed and retrievable.
Coordination and Communication
Communicate with internal teams regarding missing information or unclear requests.
Escalate any incomplete or unreadable faxes for clarification.
Experience with medical fax systems (specifically radiology), document management, or scheduling workflows preferred.
Familiarity with IndexLogic or similar imaging/scheduling platforms is an advantage.
Strong attention to detail, accuracy, and organizational skills.
Ability to manage repetitive administrative tasks efficiently.
Basic computer literacy and experience with Microsoft Office or Google Workspace tools.

Work-from-Home Device Requirement:
Device: Personal computer with Intel Core i5 or higher, or AMD Ryzen 5 or higher

Work Environment: Quiet, well-lit space with minimal background noise
