Location: US Remote(* part-time role for up to 28 hours a week with a salary range of $22-24/hr.*)

Position Summary
The Broadcast Operations Administrator will play a critical role in supporting the operational and financial infrastructure of the broadcast department and ensure efficient operation. This position requires a detail-oriented and proactive individual to manage vendor invoicing, maintain and organize essential site documentation, and ensure the accuracy of billing and contact details across multiple utility and cable service accounts. This individual will handle a variety of organizational and clerical tasks, including managing schedules, organizing files, processing documents, handling correspondence.ย The ideal candidate has strong organizational skills, familiarity with vendor billing systems, and the ability to work independently with minimal supervision.
Key Responsibilities
Clerical & Administrative Support
- Answer and direct phone calls and emails professionally and promptly.
- Greet and assist visitors and guests in person or virtually.
- Maintain physical and digital filing systems, ensuring all documents are accurately organized and accessible.
- Schedule meetings, appointments, and travel arrangements as needed.
Document and Financial Management
- Process weekly and monthly invoices from vendors that require processing and record keeping.
- Download and store cable invoices to support Ramp transactions, ensuring documentation is attached to each charge as it is incurred.
- Maintain and update the Cable Account and Rent spreadsheets for accuracy and completeness.
- Assist with invoice tracking, purchase orders, and expense reports, coordinating with Finance as needed.
Account Management
- Update all cable service provider accounts with the companyโs current name and relevant information.
- Refresh account email addresses and login credentials, replacing outdated or former employee-related information with centralized and secure credentials.
- Coordinate the update of billing addresses across all accounts in preparation for or following the closure of the West Chester Office.
- Provide account support for the Broadcast Operations team members.
Documentation and Records Organization
Reorganize and standardize documentation for all sites:
- Rename documents using a consistent naming convention.
- Consolidate files into single locations sorted by site.
- Eliminate redundant copies and clarify current document ownership.
Qualifications
- 2+ years of administrative experience, preferably in vendor management and finance.
- Proficiency with Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and familiarity with invoice processing platforms and file management systems. Google Workspace knowledge is a plus.
- Experience working with utility and cable service provider accounts is a plus.โ
- Strong attention to detail and organizational skills.
- Ability to work independently, prioritize tasks, and meet deadlines in a dynamic environment.
Preferred Attributes
- Experience with Ramp or similar expense management platforms.
- Excellent written and verbal communication skills.
