The Entity Management Coordinator plays a key support role in the effective delivery of entity management services and corporate governance to external clients across jurisdictions. Working closely with Regional Leads and external partners, this position involves coordinating governance workflows, maintaining accurate entity records, and ensuring compliance obligations are met in a timely and efficient manner. The ideal candidate will be highly organised, detail-oriented, and capable of working in a fast-paced, multi-region environment with competing deadlines.
Roles & Responsibilities:
- Support Regional Leads in managing service delivery for client portfolios across jurisdictions.
- Assist with the onboarding of new clients, including gathering KYC documents and coordinating internal approvals.
- Working closely with external partners to ensure seamless transition of clients’ records and data.
- Support Regional Leads in liaising with clients and external partners:
-Assisting with customer questions and providing on-the-spot status updates
-Facilitating client and/or external partner calls to provide updates on the status of open projects
Maintain and monitor statutory compliance calendars and track key dates for client entities (e.g., annual returns, board meetings, filings).
Ensure accurate and timely record-keeping of client information and corporate actions.
Identify and escalate potential compliance risks or anomalies in entity records.
Help implement process improvements and governance best practices within the entity management framework.
Maintain confidentiality of sensitive corporate information and ensure compliance with internal data governance policies.
Chartered secretary, Bachelor’s degree in Law, Business Administration or a related field (or equivalent experience). The candidate must possess a valid company secretary license or be eligible to hold one.
Min 4 years’ experience in corporate secretarial, legal administration, or governance support, ideally in a professional services or law firm setting.
Experience with corporate structures, multi-jurisdictional entities, and statutory compliance.
Strong attention to detail and organizational skills, with the ability to manage multiple client portfolios simultaneously.
Strong proficiency in written and spoken English is essential for this role.
Proficiency in Microsoft Office Suite (especially Excel, Word, Outlook) and familiarity with governance tools or entity management systems.
Comfortable working across time zones in a global support environment.
Preferred Skills:
- Excellent communication and client service skills.
- Familiarity with international corporate governance regimes and compliance practices.
- Experience coordinating with third-party providers or managing outsourced processes is a plus.
- Excellent communication and interpersonal skills with the ability to manage multiple external relationships diplomatically.
- Confidence in managing stakeholder expectations and communicating complex requirements clearly.
- Ability to work independently while contributing to a collaborative team environment.
