ABOUT THE ROLE
We are seeking a dynamic, highly organized professional to serve in a dual capacity as Executive Assistant to our Chief Human Resources Officer and Office Manager for our corporate headquarters in downtown Nashville. This unique hybrid role combines high-level executive support with comprehensive office management and event coordination responsibilities.
Key Responsibilities
Executive Support (50%)
- Manage CHRO’s calendar, travel, and complex scheduling
- Prepare briefing materials, presentations, and meeting agendas
- Handle confidential HR information with discretion and integrity
- Track department priorities, goals, and key HR initiatives
- Support special projects and process improvements
- Provide back up support to CEOβs Executive Assistant in her absence
Operations & Facilities Management (30%)
- Oversee daily headquarters operations, vendor relationships, and budgets
- Coordinate building maintenance, space planning, and compliance requirements
- Manage office supplies, equipment inventory, and IT coordination
- Supervise front desk operations and visitor experience
Event Management (20%)
- Plan and execute corporate events, meetings, and HR team offsites
- Manage event logistics, vendor relationships, and budget coordination
- Ensure professional meeting and conference execution
Required Experience
- 5+ years supporting C-level executives, preferably in tech/software environment
- 3+ years office administration experience
- 2+ years event planning and coordination experience
- Previous supervisory experience preferred
Skills & Competencies
- Exceptional organizational and time-management skills with ability to anticipate needs
- Clear, professional communication and high emotional intelligence
- Discretion with confidential information and strong judgment
- Proficiency in Microsoft Office Suite, Teams, and calendar management tools
- Budget management, vendor negotiation, and project management experience
- Problem-solving mindset with ability to handle multiple priorities

Compensation Information
Pursuant to state and local law disclosure requirements, the pay range for this role, with final offer amount dependent on education, skills, experience and location is $85,000 to $90,000 per year. This position may be eligible for an annual discretionary incentive award. The incentive award amount is dependent upon company performance and your personal performance and is not guaranteed.
