Hey! I’m Nick, one of the co-founders here at Conversion Factory.

We’re a small, fast-growing marketing agency built around smart strategy, sharp design, and strong client relationships.

Since launching just a couple of years ago, we’ve grown steadily to support 10–15 clients at any one time, and now we need someone to help us manage the chaos (in a good way!).

We work fully remotely with team members and clients across North and South America, Europe, and beyond. We’re friendly, relaxed, and very async - no endless Zoom calls, just focused creative delivery with clear updates (mostly via Loom).

We’re looking for a Project / Operations Manager. Someone who brings structure, clarity, and proactive communication to a busy, high-output creative team. You’ll be the air traffic controller for all client work, making sure timelines stay tight, quality stays high, and nobody drops the ball.

In this role, you will:

📁 Own day-to-day project management across 10–15 clients and projects

💬 Be the go-to contact for clients - manage expectations, share updates, and unblock issues

👥 Assign tasks based on team strengths and availability

⏱ Keep deliverables on schedule (most go out within 48–72 hours)

🧐 Spot-check work for grammar, layout issues, or missing context

🧠 Use Notion, Slack, and Loom to keep projects moving and communication clear

🔄 Coordinate feedback loops and tag in the right people at the right time

🎯 Lead client onboarding and make sure briefs, assets, and timelines are ready to go

⚙️ Work with leadership to improve workflows, automations, and systems

🛑 Push back (gently) on vague requests or scope creep

🗺 Help roadmap future client needs and requests

This is a full-time role, ideally with working hours that overlap with US Pacific Time until around 1–2 PM PST. We’re flexible on time zone as long as there’s enough overlap for things to flow smoothly.

You’ll thrive in this role if you have:

✅ 5+ years in a creative, design, or marketing agency PM role

✅ Excellent written communication - clear, human, and proactive

✅ Confidence in client-facing conversations and internal collaboration

✅ Ability to manage multiple fast-moving projects

✅ Experience with Notion, Slack, and collaborative creative tools (e.g. Figma, Webflow)

✅ Focus on details without being a micromanager

✅ Ability to think through systems - you are someone who looks for smarter ways to work!

Brownie points for:

🌟 Background in brand strategy, marketing ops, or design

🌟 Built onboarding flows or internal PM systems before

🌟 Interested in growing into a strategic client lead or ops director

You’re calm under pressure, don’t get flustered easily, and know how to balance empathy with assertiveness.

You love bringing clarity to complex projects and making sure the team can do their best creative work without chaos.

You’re easy to work with, unfazed by feedback, and happy to roll up your sleeves!

What’s in it for you?

💰 $3,250 - $3,500 per month*

🕐 Full-time, fully remote role with flexible hours

🏖 23 total paid days off per year, including:

  • 1 week off in spring (your choice)
  • 1 week off in summer (your choice)
  • 1 week off at the end of the year (Christmas Eve to New Year’s Day)
  • 8 additional paid holidays of your choosing

🎓 Budget for workshops, trainings, or job support education
