We are seeking a proactive and highly organized Recruitment Assistant to support a Founder and CEO in the consultancy industry. This role is ideal for someone who excels at task delegation, compiles data, scheduling, CRM and project management, and communication. Experienced in tool like L inkedIn Recruiter and Fetcher (prefered). You will play a key role in streamlining operations, improving efficiency, and ensuring smooth day-to-day management as the business expands.
As an EA, you will be responsible for documentation, along with progress reports, scheduling interviews, tracking candidates, managing email communications, maintaining the CRM tool, and assisting with administrative tasks to optimize the executiveβs time and productivity. This is a full-time, remote role requiring a high level of independence, attention to detail, and strong organizational skills.

Salary: $1,300- $1,700 per month (based on experience)
- 3+ years of experience as a Recruitment Executive Assistant, Administrative Coordinator, or in a similar role.
- Strong experience in phone and email management, calendar coordination, and CRM data entry.
- Proficient in Linkedin Recruiter, Outlook, Fetcher (prefered)or similar CRM and project management tools.
- Proficient in PowerPoint, including presentations, and spreadsheet management.
- Excellent written and verbal communication skills, including tracking candidates, scheduling interviews, and managing multiple projects simultaneously.
- Ability to take initiative, solve problems independently, and implement efficient workflows.
- Strong organizational and time management skills.
- Familiarity with basic bookkeeping and reporting
- Technical Requirements: Reliable high-speed internet, a modern laptop with a multi-core processor, and a noise-canceling headset.
Key Responsibilities
Phone & Call Management: Handle incoming calls, ensure timely responses, and manage call logs.
Social media Publising:
CRM Managment: There is a need for consistent data entry to ensure that all relevant contacts and leads are updated in the CRM. This includes transferring information from spreadsheets to the database and maintaining accurate records.
Experience in Sales Support & Reporting: EA with a background in sales support or customer relationship management. To understand the sales process and be able to assist in managing leads, follow-ups and reporting.
Scheduling Meeting & Calendar Management: Organize and schedule meetings and keep the executive and team informed of upcoming appointments.
Tech Savvy: Familiarity with various software tools, including CRM systems, AI Recruitment (such as Fetcher), and communication platforms (like email and video conferencing tools), is essential. The EA should also be comfortable using Notion for documentation and SOPs.
Email & Communication Management: Oversee inbox triage, draft and review emails, and maintain a system for prioritizing key messages (google g-mail, G-drive)
Adaptability: The EA should be flexible and willing to adapt to changing priorities and tasks. They should be comfortable working in a dynamic environment and adjusting their approach as needed.
Inbox triage and focusing on archiving or removing non-actionable emails and surfacing only those requiring Executive’s attention
Administrative Support: Assist with document organization, mail management, and basic reporting.
Able to handle expense reports and able to remind and help coordinate content and distribution.
Process Optimization: Help establish efficient workflows and implement best practices for managing executive responsibilities.
