We’re looking for an Operations Lead who will serve as a trusted right hand to our President and COO. This isn’t an administrative role it’s about owning operational workflows end to end, driving initiatives forward with minimal oversight, and helping us scale through strong systems and execution. You’ll be the person who ensures nothing falls through the cracks, who spots inefficiencies before they become problems, and who brings process-minded thinking to everything you touch.
📋 Own and manage core operational workflows, including client communications, onboarding, and tax-related coordination
📋 Handle all invoicing
✅ Ensure work is tracked, completed accurately, and fully closed out across all touchpoints
🔍 Identify gaps or inefficiencies in processes and drive improvements using systems thinking, AI, and automation
🚀 Lead client onboarding operations to ensure a smooth, consistent experience
🤝 Facilitate cross-departmental coordination and surface risks or blockers early
💰 Support contractor payroll processes with accuracy and timeliness
🎉 Drive team engagement initiatives, including virtual team lunches and creative approaches to employee satisfaction
⚡ Execute internal initiatives on behalf of leadership, ensuring momentum and follow-through
Working Hours: This is a full-time, fully remote role with a significant overlap with US times (EST)
Must-haves:
✅ 4-5 years of experience in a similar operations or workflow management role
✅ Experienced with invoicing
✅ Experienced with operations and workflow/project management
✅ Highly detail-oriented, organized, and reliable
✅ 3+ years of working in a fully remote environment
✅ Proven ability to own work end to end and manage multiple priorities
✅ Comfortable working across teams and following up as needed
✅ Proficient in Google Workspace and macOS
✅ Discreet and trustworthy with sensitive information
✅ Demonstrated ability to work independently while also being a strong, collaborative team player
Brownie points:
⭐ Experience supporting leadership or acting as an operations right-hand
⭐ Familiarity with accounting, tax, or professional services environments
⭐ Passion for AI, automation, and improving systems through technology
⭐ Experience documenting and improving internal processes
⭐ Prior experience helping drive team culture or engagement initiatives

You’re comfortable making thoughtful judgment calls without constant direction, and you communicate clearly and respectfully across teams. You’re curious and improvement-focused, especially when it comes to systems and efficiency. Above all, you’re trustworthy and professional when handling sensitive information.
