Work Schedule: 9:00 AM - 5:00 PM EST, 40 hours per week

Role Overview

We are hiring a highly motivated and resourceful Operations and Automations Associate to support the CEO of a US-based biotechnology company focused on digestive health innovation. This is a unique opportunity to join a lean, global team at the intersection of biotechnology, e-commerce, and consumer health.

In this role, you’ll blend traditional executive support with cross-functional operations—spanning HR, Finance, Operations, Customer Service, and Brand Protection. You’ll keep priorities on track, ensure workflows run smoothly, and help build scalable systems that enable the company’s growth.

This position is ideal for someone who thrives in ambiguity, enjoys variety, and wants to contribute meaningfully to a mission-driven company.

Your Impact

  • Enable the CEO to focus on strategic priorities by handling operations with precision.
  • Improve efficiency and structure across HR, Finance, Vendor Management, and Customer Service workflows.
  • Protect the company’s brand integrity across digital platforms, including Amazon.
  • Ensure smooth company scaling by maintaining systems, SOPs, and knowledge management.

Core Responsibilities

Operations & Vendor Management

  • Coordinate with fulfillment and manufacturing partners to ensure timely delivery.
  • Manage purchase orders, shipping logistics, and wholesale workflows.
  • Negotiate and maintain vendor relationships.

Systems & Knowledge Management

  • Maintain Notion as the hub for SOPs, dashboards, and documentation.
  • Create processes that boost visibility and efficiency across teams.

Customer Service & Experience

  • Support CS teams with dashboards (Gorgias, OpenPhone).
  • Provide backup CS support during peak times.
  • Share insights from customers to guide product and marketing decisions.

Finance & Compliance

  • Track and reconcile expenses, invoices, and receipts (Brex, Shopify).
  • Support compliance filings across states (CA, MA, NY).
  • Partner with accounting advisors on audits and reporting.

Amazon & Brand Protection

  • Manage Amazon Seller Central storefronts (US, UK).
  • Monitor resellers/hijackers and coordinate removal through Brand Registry.
  • Partner with Amazon account managers to safeguard the brand.

HR & People Operations

  • Oversee onboarding, offboarding, and compliance documentation.
  • Manage payroll and benefits workflows (Rippling, PFML, COBRA, workers’ comp).
  • Support international contractor and Employer of Record (EOR) setups.
  • Lead culture initiatives: gifts, team socials, and internal communications.

Executive Support

  • Manage a complex calendar and prioritize CEO engagements.
  • Prepare agendas, take notes, and track follow-ups.
  • Draft professional communications and ensure task completion.

Must-Have:

  • 3+ years of experience as an Operations Associate/Manager, Chief of Staff, or in cross-functional operations.
  • Familiarity with no-code automation tools (Zapier, Airtable, Notion automations).
  • Experience leveraging AI tools for workflow optimization.
  • Strong organizational skills with the ability to manage multiple priorities.
  • Excellent written and verbal communication.
  • Proactive problem-solver with discretion in sensitive matters.
  • Ability to thrive in a fast-paced, entrepreneurial environment.

  • Experience across HR, Finance, Customer Service

  • Proficiency with tools such as Rippling, Brex, Shopify, Amazon Seller Central, Slack, Gorgias, and Google Workspace.
