The Administrative Support Associate provides critical frontline support to the administrative operations of MiaPrep Online High School (MOHS). This role is primarily responsible for responding to student and parent inquiries through email and phone communication, and may eventually grow into live chat support for parents. In addition to customer support, the Associate contributes to a range of administrative and project-based tasks that support school operations, student engagement, and the overall experience of MOHS families.
This position reports to the Director of Student Success and works in close collaboration with the Administrative Support Coordinator, supporting and executing tasks across enrollment, billing, internal systems, and communication platforms as needed. The Associate also contributes to academic calendar management and plays a key role in fostering a responsive, caring culture for all MOHS stakeholders.
A Day in the Life:
Manage day-to-day customer inquiries with professionalism, empathy, and efficacy.
Resolve concerns promptly, or triage and escalate issues to appropriate departments or staff as needed, ensuring timely resolution.
Maintain a strong tone of support, care, and clarity in all communications, with attention to student outcomes and family satisfaction.
Maintain excellent record-keeping in all systems, ensuring students, parents, and staff have correct information as it is needed.
Assist with administrative tasks related to enrollment, tuition, and academic status in coordination with the Administrative Support Coordinator, academic counselors, teachers, and other staff.
Monitor shared communication channels and provide support for safe and respectful student interactions as needed.
Maintain and update the academic and club calendar in coordination with the Engagement Specialist.
Support and occasionally lead special projects aligned with the administrative needs of the school (e.g., surveys, audits, internal documentation, family communication, data analysis).
Proactively identify opportunities to improve administrative systems and support services.
Provide additional support to MOHS staff and students as needed, potentially including meeting with students and academic advising, among other duties.
Contribute to a collaborative culture that values communication, flexibility, and support for student success.

Schedule:
- Work 40 hours each week on a year-round basis, Monday through Friday, between 8 am and 4 pm in a US time zone (ET, CT, MT, or PT)
Requirements
High school diploma or equivalent
Minimum 2 years of experience in administrative or customer service settings
Excellent written and verbal communication skills
Strong organizational skills with the ability to manage multiple tasks and meet deadlines
Empathy, patience, and a student-centered mindset
Comfort with cloud-based tools (e.g., Google Workspace, ticketing systems)
The ideal candidate brings:
Experience in an educational or school environment
Familiarity with Freshdesk or other ticketing/CRM platforms
Experience with calendar and scheduling management
Experience with state funding processes for homeschooling or private schooling
Background in student advising or teen-facing roles (formal or informal)
Compensation & Benefits
The expected starting pay range is $19.42 - $30.81 per hour. Administrative Support Associates at MiaPrep Online High School work an average of 40 hours per week. When working year-round, this can equate to an annual pay range of $40,393 - $64,084.
Miaplazaโs compensation philosophy ensures equity and competitiveness while considering the regional differences in living and labor costs. Specific rates will be provided during the hiring process and are aligned with market data and internal equity.
Compensation is evaluated twice per year, based on performance.

PTO is all-purpose time off, and combines traditional vacation and paid sick leave plans into one flexible, inclusive policy. Eligible employees can use PTO for all kinds of absences including: vacation, holidays, illness, injury, family leave, and other personal business. Full-time employees receive 16 hours of floating holiday PTO per quarter and accumulate additional PTO at the rate of 1 hour per every 17 hours worked. Annually, this amounts to approximately 122 hours per year or 15 eight-hour days on average.
