We are looking for an Associate to join the Platform and Process Improvement Team to help us communicate, monitor, and move data as efficiently as possible while providing excellent support for our internal teams. Like most platforms, we are only as good as the data we have and we are looking for an analytical, solutions-oriented associate to scale the team’s ability to build and support processes for our recordkeeping operations. This role will report to the Senior Manager of Platform and Process Improvements and partner with our development and product teams to build and maintain our business processes as we scale.

As an ideal candidate, you are tech-savvy and can probably do almost anything in Excel. More importantly, you’re thrilled by the challenge of understanding a new problem and figuring out ways to improve processes and workflows. You enjoy supporting automation between platforms to reduce manual work and increase productivity.

What Will You Be Doing?

Day-to-day you will be expected to:

  • Focus on establishing best practices that enable the teams we support to effectively prioritize and deliver on SLAs
  • Collaborating with Product and Development teams to resolve blockers and drive initiatives that ensure day-to-day workloads are scalable and processes are running efficiently
  • Managing external communication streams with Vestwell’s enterprise initiatives; driving a tactical approach to troubleshooting and resolving issues in conjunction with liaising with our partners
  • Creating new and managing existing processes, templates, team workflow tools, and organizational tools
  • Partake in case studies and auditing team processes and performance to ensure adherence to compliance requirements
  • Backlog and blocked item grooming for team; escalating cross-collaboratively with product/dev for resolution
  • Act as a point of escalation for internal communication streams with Vestwell’s teams; leading a tactical approach to the resolution of the issue in conjunction
  • Reporting on metrics, performance, and team capacity planning to support department initiatives at the executive level
  • Evaluate and make recommendations on improvements to the workflow that will enable scalability through improved operational efficiencies. This goal is continuous and assumes the employees are making ongoing recommendations on a regular basis.
  • Create an environment of empowerment among the employees that puts them in position to further advance the servicing of our current customers.

Requirements

The Necessities:

  • 1-2 years of prior experience in operations in the fintech or startup space
  • Workflow implementation experience
  • Tech-savvy; you can learn and use new systems and tools quickly
  • Experience with project management software (e.g. Jira/Confluence, Zendesk, AWS etc.)
  • Excellent communication skills and follow-through; it requires little lift for you to stay on top of issues
  • Commitment to quality as a top priority - you pay attention to the details and strive to tie out any discrepancies, regardless of how small
  • Ability to constructively analyze the current way of doing things and make recommendations for improvement

The Extras:

  • Retirement or investment industry knowledge
  • Coding knowledge and experience using SQL and Python
  • Experience with Reporting tools (e.g Sigma, Tableau, etc.)

This role could be based in our New York City or King of Prussia office and will be part of Vestwell’s hybrid in-office operation.

The expected base salary range for this position is $75K - $85K base. This position is eligible to participate in the Company Bonus Pool and is eligible to receive new hire equity in the Company. Please note that salary bands are based on New York and other similar metro areas and may differ based on where the role is ultimately hired.
