Job description
We’re seeking a focused and organized Consultation Appointment Specialist to join our team. In this role, you’ll make outbound calls to potential clients and schedule legal consultations for multiple attorneys. You’ll work as part of a centralized team with a primary focus on converting leads through structured outreach. As the program evolves, this role may expand into more advanced legal virtual assistant support, including case coordination and administrative tasks.
Your responsibilities include:
Make outbound calls to potential clients, guiding them through the intake process and scheduling consultations
Scheduling appointments across multiple attorney calendars and time zones
Follow up with leads to ensure engagement and maximize consultation conversion rates
Accurately document lead activity and status updates in CRM and tracking tools
Identify and escalate potential issues that could delay or impact the consultation process
Collaborate with internal team members to ensure smooth handoffs and clear communication
Support basic administrative and coordination tasks related to scheduling and intake
At least 5-8 years as a Virtual Assistant or in executive support
Strong written and verbal English communication skills.
Skilled in tools like Slack, Notion, Trello, and Calendly
A strong communicator who can work with diverse stakeholders
