We are seeking a highly organized, proactive Corporate Events Planner to design and deliver impactful internal experiences that inspire connection, align with our mission, and celebrate our culture. From executive offsites and company-wide gatherings to department-level events, you’ll bring structure, creativity, and operational excellence to every touchpoint.

Reporting to the Senior Executive Assistant to the CEO, this role will lead the planning and execution of high-impact internal events while also supporting and empowering teams across the organization with scalable tools and best practices. This is a cross-functional, fast-paced, and highly visible position requiring strong project management, relationship-building skills, and a deep understanding of how experiences shape culture.

Your Impact:

  • Lead the end-to-end planning and execution of flagship internal events—including executive meetings, leadership retreats, team off-sites, and culture-driven engagement initiatives, and some virtual internal events—ensuring they reflect Omada’s mission, values, and strategic goals.
  • Serve as a point of contact and advisor for internal teams planning smaller-scale or department-specific events, providing best practices, resources, and support to maintain consistency and quality across the organization.
  • Collaborate cross-functionally with People & Culture, Marketing, Finance, and Leadership teams to align on timelines, messaging, and event objectives.
  • Develop and maintain a comprehensive corporate events calendar, tracking milestones, deliverables, and communications.
  • Oversee event-related budgets, including forecasting, tracking, reconciliation, and post-event reporting.
  • Research, source, and assist in managing vendor relationships—including contracts, invoices, and purchase orders—for venues, catering, gifting, A/V, and other event needs.
  • Curate thoughtful, inclusive food, beverage, and gifting experiences in collaboration with regional partners and caterers.
  • Represent the Omada brand at site visits, vendor meetings, and community events, ensuring a consistent and positive presence.
  • Guide creative direction for the aesthetic and atmosphere of major events, from concept development to ambiance and attendee experience.
  • Coordinate logistics and travel for off-site engagements; occasional travel (up to 10–15%) may be required to support on-site execution.
  • Maintain inventory of event supplies, proactively managing procurement and storage.
  • Track and evaluate event success, gathering feedback and key learnings to continuously improve the Omada experience.

About you:

  • BS/BA—ideally in hospitality, event management, communications, or marketing.
  • 5+ years of experience in corporate event planning or a related field, with a strong portfolio of high-touch, high-impact events.
  • Experience with sizable budgets (up to $500K) and are confident forecasting, managing, and reconciling spend.
  • Resourceful and proactive problem-solver, capable of navigating ambiguity with grace and professionalism.
  • Natural collaborator who thrives in a cross-functional environment and builds trust with stakeholders at all levels.
  • Exceptional project management skills and can juggle multiple timelines without sacrificing quality or creativity.
  • Sharp attention to detail and the ability to conceptualize and bring to life a concept through event design

Bonus Points for:

  • Experience planning events in a remote-first company environment
  • Familiarity with G Suite, Slack, and Workday (or similar expense/travel systems)
  • A passion for wellness, inclusion, and sustainability in events

Benefits:

  • Competitive salary with generous annual cash bonus
  • Stock options
  • Remote first work from home culture
  • Flexible vacation to help you rest, recharge, and connect with loved ones
  • Generous parental leave
  • Health, dental, and vision insurance (and above market employer contributions)
  • 401k retirement savings plan
  • Lifestyle Spending Account (LSA)
  • Mental Health Support Solutions
  • …and more!
