We are seeking a skilled and experienced virtual assistant with strong expertise in HubSpot CRM and Apollo.io to support our team in optimizing our CRM setup. This is a short-term project aimed at ensuring our systems are correctly configured, integrated, and fully operational for our sales and reporting needs.
RESPONSIBILITIES:
- Audit and configure HubSpot CRM settings to ensure optimal performance and usability.
- Verify and set up reporting dashboards and ensure accurate report generation.
- Assist with integration and configuration of Apollo.io as a lead/data management tool.
- Set up or review existing workflows, data flows, and sequences within HubSpot.
- Ensure the live chat/agent feature is properly functioning and integrated on the website.
- Provide guidance during a setup session (estimated 1–2 hours) with internal team members.
- Deliver a summary report of actions taken and suggestions for future maintenance.
QUALIFICATIONS:
- 3+ years of experience working with CRM tools, particularly HubSpot and Apollo.io.
- Proven track record of CRM setup, customization, and optimization.
- Familiarity with marketing/sales workflows, sequences, and lead management.
- Ability to troubleshoot and configure reporting and dashboard functionalities.
- Strong communication skills and ability to work collaboratively in a short timeframe.
PROJECT TERMS:
- 10-hour minimum commitment
- This is a one-time setup project (not ongoing maintenance).
- Must be available for a collaborative session to walk through final setup.
