Job description

We’re seeking a highly detail-oriented Data Entry Specialist with at least 5 years of relevant experience and a background or exposure to engineering workflows. In this role, you’ll play a vital part in supporting project lifecycle management—from project intake to document handling and task tracking—while working closely with engineers and project coordinators.

Job Responsibilities:

  • Intake new projects and revisions by downloading client-submitted documents, assigning project numbers, and organizing them using internal folder templates

  • Create structured project folders in cloud storage and ensure proper document filing

  • Set up secure links within the cloud system (upload & view-only access) and email project data to assigned engineers

  • Track project status and mark completed engineering tasks within the project management platform

  • Intake completed projects from engineers by logging updates and moving tasks to the stamping engineer

  • Enter new tasks received via email into both the cloud storage and project management systems

  • (Optional) Email finalized documents to clients using the designated project coordinator account

  • Minimum 5 years of professional data entry experience, ideally in a technical or engineering-related environment

  • Strong understanding of file management, data organization, and cloud-based systems (e.g., Google Drive, Dropbox, SharePoint)

  • Familiarity with project management tools (e.g., Asana, Trello, ClickUp, or similar)

  • Experience handling confidential documents and maintaining accurate records

  • Excellent communication and organizational skills

  • Strong attention to detail and the ability to follow structured processes

  • Engineering background or experience working within an engineering team is preferred
