Job Description
Reporting to the Managing Director ROW (Rest of the World), you will be providing a broad range of office functions and secretarial support to the Managing Director ROW and the Managing Director Eastern Europe.
The responsibilities include but are not limited to:
Managing and coordinating complex calendars and organising meetings and appointments for regional managing directors
Organization of meetings including the preparation of reports, minutes and follow-up of actions
Preparation of presentation documents for working committees
Organization and collecting essential information for necessary update with any needs.
Organizing seminars, events and conferences locally and internationally
Monitoring of various transversal projects
Organization of travels (transport, accommodation, schedule)
Acts as the liaison for all visitors coming from other Believe entities worldwide.
Development and preparation of external communication projects (social media, LinkedIn), as well as occasional support in participating in music industry events
Writting notes, reports, summaries and other written documentation to support on business activity
Build up visuals & designed presentations if needed ( via standards tools)
Support in accessing to internal tools and resources within the backoffice system
Qualifications
Min 5-years of relevant experience as an Executive Assistant
Fluent English , russian appreciated
Ability to maintain a high level of accuracy in preparing and entering information
Excellent written and verbal communication skills
Good at multitasking and confident in project management
Skilled in the use of Microsoft Office products (Word, Excel. PowerPoint, etc)
Excellent stress management and time management skills
Ability to maintain strict confidentiality in performing duties
A team player with good interpersonal skills.
Meticulous, organized, proactive and detailed-oriented
