Pavago is seeking an experienced and detail-oriented Maintenance Coordinator to support our client’s property management operations. In this role, you’ll be the main point of contact for coordinating repairs and maintenance requests, ensuring timely responses, and keeping tenants and property owners informed every step of the way. You’ll balance excellent customer service with strong organizational skills to manage work orders, vendor relationships, and property maintenance schedules efficiently. Responsibilities:
- Work Order & Vendor Management: Receive, log, and prioritize maintenance requests in AppFolio, assigning them to appropriate vendors or maintenance staff. Communicate with contractors to schedule and oversee repairs, ensuring quality work and timely completion.
- Communication & Relationship Management: Respond promptly to tenant inquiries, providing updates and ensuring satisfaction with completed work. Keep property owners informed of ongoing maintenance, costs, and timelines to maintain transparency and trust.
- Preventive Maintenance & Documentation: Track and schedule routine property inspections and preventive maintenance to reduce future repair costs. Maintain accurate records of all maintenance requests, communications, and invoices in AppFolio.
- Budget & Problem Solving: Monitor maintenance expenses to ensure they align with approved budgets, and troubleshoot common maintenance issues remotely when possible to save time and costs.
Required Skills and Experience:
- Experience: 3 years in maintenance coordination within property management.
- AppFolio Proficiency: Advanced knowledge and hands-on experience using AppFolio for work orders, scheduling, and reporting.
- English Proficiency: great English skills, both verbal and written, to communicate professionally with tenants, vendors, and property owners.
- Customer Service Skills: Proven ability to handle inquiries and complaints with patience, empathy, and professionalism.
- Work Ethic: Self-starter with high attention to detail, able to work independently and take initiative without constant supervision.
- Coachable: Open to feedback and committed to continuous improvement.

What Does a Typical Day Look Like?
Start your day by reviewing new maintenance requests in AppFolio, prioritizing urgent repairs, and assigning them to trusted vendors. Throughout the morning, follow up on in-progress work orders, provide updates to tenants and property owners, and troubleshoot any delays. In the afternoon, focus on preventive maintenance scheduling, reviewing invoices, and updating records in AppFolio. End the day by ensuring all open requests are tracked and follow-up actions are planned for the next day.
