About the Client

Our client is a purpose-driven U.S.-based immigration law firm that combines legal expertise with high-touch service for individuals and families navigating the immigration process. They are passionate about delivering exceptional outcomes and maintaining strong, clear, and timely communication throughout each case.

This role directly supports the legal team by ensuring every case is handled with accuracy, speed, and organization—from initial document collection to final case filing.

Position Overview

We are seeking a meticulous and proactive Paralegal/Legal Operations Assistant to support the daily operations of the firm. The ideal candidate is detail-oriented, process-driven, and thrives in environments where documentation, compliance, and communication intersect.

You will play a critical role in organizing digital files, maintaining accurate client records, assisting in form preparation, and communicating directly with clients to ensure each case progresses smoothly.

This is a high-trust role where your organization and follow-through will directly impact the client experience and legal team’s success.

Key Responsibilities

Document Management

  • Create and maintain digital client files in alignment with firm protocols
  • Ensure electronic document organization, proper naming conventions, and version control
  • Eliminate duplicates and remove outdated forms or templates

Client Interaction & Case Management

  • Gather, verify, and organize client documents for immigration cases
  • Communicate with clients regarding missing information, timelines, and updates
  • Draft professional client correspondence, such as approval and congratulatory letters

Form Preparation & Filing Support

  • Draft and complete immigration-related government forms and petitions
  • Prepare and assemble exhibit lists and ensure submission accuracy

System & Database Updates

  • Maintain client profiles in Salesforce and internal databases
  • Document all client communication and ensure case notes are up to date

Administrative Coordination

  • Submit requests for translation services and educational evaluations
  • Collaborate with internal team members to set daily and weekly case goals

Compliance & Legal Awareness

  • Stay informed on the latest developments in immigration law
  • Ensure all documentation and filing processes meet current legal standards

Must-Haves

  • 2–3 years of administrative, legal operations, or paralegal experience
  • Strong verbal and written communication skills
  • High attention to detail and excellent organizational habits
  • Proficiency in Google Workspace, Microsoft Office, and database systems like Salesforce
  • Ability to manage multiple case files with consistent follow-through
  • Comfortable working in a fast-paced, deadline-driven environment

Nice-to-Haves

  • Prior experience in immigration law, legal tech, or client-facing legal support
  • Experience with U.S. government forms or legal filing systems
  • Bachelor’s degree or equivalent experience in legal, administrative, or compliance roles
