Canada Payroll Analyst, HubSpot

HubSpot is looking for a detail-oriented and experienced Canada Payroll Analyst to join our team. In this role, you will be instrumental in ensuring the accurate and timely processing of payroll for over 6,000 employees across Canada and the US. Your expertise in both Canadian provincial regulations and US payroll laws will be crucial in maintaining compliance and supporting our diverse workforce.

We’re searching for someone with a proven track record of driving process efficiency to join our team. The successful candidate will bring expertise in Canadian payroll processing and systems, a dedication to exceptional customer service, and the ability to work independently in our dynamic, remote work environment. You’ll be key to taking our Canadian payroll function to the next level by spearheading automation initiatives and ensuring seamless compliance.

Key Responsibilities:

  • Payroll Processing: Process accurate and timely payroll for over 6,000 employees across multiple Canadian provinces and US states within Workday.
  • Compliance: Ensure all employee wages and payroll deductions comply with Canadian provincial regulations, collective bargaining agreements, and US federal and state laws.
  • Deduction Management: Accurately calculate and deduct various payroll items, including benefits, wage garnishments, and all applicable taxes.
  • Taxable Income Processing: Process all forms of taxable income, such as awards, gift cards, and relocation expenses, ensuring correct tax treatment.
  • Canadian Specifics: Issue Records of Employment (ROEs) and complete all payroll information requests from Service Canada.
  • Audits & Adjustments: Conduct periodic, quarterly, and annual payroll audits. Process wage and tax adjustments as needed to maintain accuracy.
  • Issue Resolution: Troubleshoot and resolve payroll issues promptly by collaborating with HR, Finance, and employees.
  • Employee Support: Engage with employees and external agencies via ServiceNow to address and resolve payroll-related queries.
  • Process Improvement: Collaborate with various teams to identify and implement opportunities for streamlining payroll processes.
  • Year-End & Quarter-End: Assist with quarter-end and year-end tasks, ensuring the accuracy of annual T-4s and RL-1s, and processing corrections as required.
  • Internal Controls & SOX: Demonstrate a strong understanding of internal controls and SOX documentation, with experience in control testing.
  • Automation & Innovation: Propose and implement innovative ideas and automated solutions to enhance payroll functions and efficiency.
  • Data Integrity: Ensure data integrity, accuracy, and reconciliation across all payroll systems.
  • Project Management: Manage and successfully complete complex and sensitive payroll projects as required.

Qualifications:

  • At least 3 years of experience in a payroll-related position.
  • At least 2 years of experience in payroll tax, accounting, or a related field.
  • Bachelor’s Degree or equivalent experience preferred.
  • Proven experience processing payroll for a large employee base (6,000+ employees) in both Canada and the US.
  • In-depth knowledge of Canadian provincial payroll regulations, including experience with collective bargaining agreements.
  • Strong understanding of US federal and state payroll laws and tax regulations.
  • Proficiency in Workday payroll system is essential.
  • Experience with ServiceNow or similar case management systems for employee query management.
  • Familiarity with internal controls and SOX compliance.
  • Excellent analytical and problem-solving skills.
  • Strong attention to detail and accuracy.
  • Ability to work independently and as part of a team in a fast-paced environment.
  • Excellent communication and interpersonal skills.
  • Maintain strict confidentiality standards.
  • Strong proficiency in Excel, including VLOOKUP and pivot tables.
