About the job:
As a People Operations Specialist, you will play a vital role on the People team, dedicated to delivering a world-class experience by providing exceptional support and guidance throughout the employee lifecycle. This includes onboarding new hires, managing offboarding, transfers, and addressing employee inquiries to foster a positive work environment. You will be the first point of contact for employees, helping them navigate our various HR processes, programs and initiatives.
You will prepare and maintain essential HR documentation, such as employment contracts, reference letters, and employee files, ensuring a seamless experience for employees. Additionally, you will ensure the accuracy of employee records in the HRIS (Workday), maintain compliance with labor laws, and support the development and implementation of HR policies.
What you’ll do:
- Act as the first point of contact for employees and managers, providing guidance on HR policies and processes.
- Manage and resolve HR queries through multiple channels, such as email, Slack, and Jira ticketing systems.
- Manage and update policies, processes, employment contracts, addendums and other HR documents to ensure alignment with local regulations.
- Manage onboarding of new employees, including documentation, verifying right to work documents, coordinating welcome and induction, and supporting managers.
- Collaborate with HR team members, Payroll, Talent Acquisition, and other teams to ensure smooth operational workflows.
- Monitor compliance with local, regional, and global labor laws, staying current on regulatory changes that impact HR operations.
- Support visa, employment pass, and relocation processes in Singapore, coordinating with government agencies and external partners.
- Manage and consult with employees regarding leave requests and ensure relevant paperwork and systems are updated.
- Support the administration of employee benefits programs, including health insurance, pensions, and other employee benefits.
- Accurately input, maintain, and update employee data in Workday, including processing employee changes, uploading documents, and regularly auditing and verifying data to ensure integrity and accuracy.
- Create, maintain, and update comprehensive process documentation and “how-to” guides, regularly reviewing and improving them to reflect changes in policies, regulations, or processes.
- Develop, implement, and drive improvements in HR processes and programs, focusing on efficiency, compliance, and employee experience.
- Provide employees with all necessary documentation and act as point of contact for inquiries throughout the separation and offboarding process.
What you’ll need to succeed:
- 3+ years of experience in HR operations, with strong knowledge of Singapore employment law, work passes, and visa processes.
- Experience supporting HR operations in additional APAC regions, particularly Japan and Australia, is highly desired.
- Experience working in shared services or centralized People Operations environments, handling high volumes of queries.
- Fluency in English is required.
- Familiarity with HR systems like Workday or similar HRIS platforms, with an emphasis on maintaining accurate data and automation.
- Strong problem-solving abilities and a proactive, solution-oriented approach.
- Experience creating, maintaining, and updating HR policies, procedures, and employee guides.
- Proven success in improving HR workflows and implementing process enhancements.
- Excellent organizational skills with the ability to prioritize tasks effectively.
- Ability to ensure data accuracy and confidentiality, with great attention to detail.
