Job Description

We are looking for a Senior Events Specialist to bring their energy, creativity and new ideas to to our successful, high performing team. You will work with client executives and senior leadership and thrive in a multi-project, collaborative environment.

  • Manage the complete execution and logistics of trade shows and partner/client events to achieve business objectives.
  • Assist sales and marketing in determining which tradeshows and events are critical to meeting business objectives.
  • Recommend appropriate sponsorship level and staff attendance to ensure desired brand presence.
  • Work with Event, Marketing leadership and external vendor partners to ensure collaboration, standard procedures, optimum efficiencies, and results.
  • Help secure speaking opportunities at industry conferences and manage event plans for logistics, promotional items
  • Negotiate with vendor/suppliers for best arrangements within budget.
  • Manage all tradeshow services and vendors needed per event: including event service orders, registrations lists, housing lists, audio visual orders, room set-ups, meeting materials and catering/menus.
  • Coordinate promotional aspects related to events, including creating and proofing content for virtual and physical event booths, website, event emails and other event materials.
  • Create event planning and training materials, lead pre-show briefings and implement follow-up for events.
  • Track and reconcile individual event budgets, ensure cost center chargebacks are made and provide future event budget estimates.
  • Remain current on industry trends, technology and share best practices to evolve our events program.
  • Support survey summary report development and other post-event metrics to identify success and areas of opportunity.
  • Support efforts to develop relevant event databases and mailing lists.
  • Provide onsite event support throughout the country.
  • You will report to the VP of Marketing
  • This position is 100% remote

Qualifications

  • 5 years minimum tradeshow support experience in a corporate environment.
  • Understand production requirements and timelines of tradeshow and event production.
  • Familiarity with tradeshow accounting and billing processes.
  • Experience working with a tradeshow display house to create and manage booth materials, promotional items, and marketing material inventory.
  • Project Management experience with the ability to collaborate with team members and work under tight deadline pressures.
  • Demonstrate initiative with the ability to act quickly and decisively with solutions to unexpected issues.
  • Experience with vendor relations, client interaction and stakeholder presentations.
  • Experience working in a fast-paced, dynamic environment and successful execution of multiple events with opposing priorities.
  • Accountable with the ability to handle stress and last-minute, urgent requests.
