About the Role (your why)
As a Licensing Operations Specialist, you will play a pivotal role in ensuring the smooth delivery and management of software licensing operations. You will be responsible for overseeing operational processes, compliance checks, and renewals to support our licensing strategy and deliver exceptional value to clients. Working closely with our regional and national licensing teams, you’ll ensure accuracy, efficiency and client satisfaction in all licensing transactions.
Our offices are based in Perth. We like to bring people together in person when we can, but we are mindful of the benefits of working from home for work-life balance. We therefore leave it to you and the team you join to figure out what works best!
What you’ll do
At the moment, as Licensing Operations Specialist you will be focused on:
- Managing the end-to-end process for software licensing renewals, orders, and operational activities
- Monitoring licensing compliance and contractual obligations to minimise risk
- Coordinating billing and invoicing processes to ensure accuracy and timeliness
- Collaborating with Account Managers to ensure licensing timelines and deliverables are met
- Maintaining operational documentation and tracking metrics for reporting to stakeholders
- Managing data integrity within licensing systems and tools
- Supporting the preparation of licensing proposals, contracts, and renewal notices
- Assisting in coordinating vendor communications for updates, changes, and licences
- Identifying and implementing process improvements for efficiency and customer experience

What you’ll bring
Required experience:
- 3+ years’ experience in software licensing operations or procurement
- Strong knowledge of licensing models and compliance requirements
- Experience working with major vendors such as Microsoft, AWS or other enterprise software providers
- Excellent organisational and time management skills
- Strong communication skills to liaise effectively across teams and with clients
- High attention to detail and accuracy in data and documentation
- Ability to problem-solve and manage multiple priorities in a fast-paced environment
- Must be based in Perth and AU Citizen or Permanent Resident
Nice to have:
- Microsoft role-based or licensing certifications
- Experience in cloud-based licensing models and renewals management
- Familiarity with ERP or CRM systems for licensing tracking
- Vendor relationship experience in a similar role
- Exposure to operational process improvement initiatives
