Location: Hybrid in Sacramento - in-office dependent on business needs

Job Summary:

As the Accounts Receivable Manager at Emtrain, you will be the sole person responsible for managing all aspects of our accounts receivable function. You will oversee the entire billing and collections process, ensuring timely and accurate invoicing, following up on outstanding payments, and working cross-functionally with the Revenue and Finance teams. This is a highly dynamic and hands-on role that requires attention to detail, problem-solving skills, and the ability to navigate complex issues that arise from sales, contract terms, and invoicing.

Key Responsibilities:

Billing & Invoicing:

  • Manage all aspects of billing for Emtrain, ensuring accurate invoicing in alignment with contractual terms and purchase orders (POs).
  • Address discrepancies in Salesforce regarding contract terms, billing, and purchase orders.
  • Coordinate with the Revenue & Sales teams to confirm billing details are correct before invoices are sent out.

Collections & Cash Application:

  • Own the collections process, including following up with clients on overdue payments.
  • Build and maintain strong relationships with clients to ensure timely resolution of payment issues.
  • Monitor accounts to identify any issues or delays, and work proactively to resolve them.

Reporting & Data Management:

  • Generate and analyze billing-related reports in tools such as Maxio.
  • Track and report on the aging of accounts receivable, providing regular updates to the Controller.
  • Ensure accurate recording of all payments and receipts.

Process Improvement:

  • Proactively identify areas for improvement in the AR process, suggesting and implementing solutions to increase efficiency and accuracy.
  • Take ownership of the AR function, streamlining workflows where possible, and ensuring best practices are followed.

Qualifications:

  • 5+years of experience in Accounts Receivable preferably in a SaaS or technology environment.
  • Strong proficiency in QuickBooks and Maxio, or similar financial tools and platforms.
  • Familiarity with Salesforce and its integration with billing systems.
  • Excel skills with strong knowledge of functions such as vlookups and pivot tables.
  • Experience with billing and collections in a dynamic company environment
  • Ability to generate and analyze financial reports, working knowledge of AR aging, payment schedules, and collections strategies.
  • Strong written and verbal communication skills, with the ability to handle customer inquiries and negotiate payment terms when necessary.
  • Excellent organizational skills with a keen eye for detail to ensure accurate billing and reporting.
  • Strong analytical skills, with the ability to identify and resolve issues quickly and efficiently.
