About the Role
As a Lease Administrator, your main focus will be to manage lease documentation and data processes to ensure accurate contract handling, compliance, and timely information for business decisions for the Sales Market.
You secure correct execution, maintain reliable data, and support cross‑functional teams with essential lease and payment information.
This hybrid role reports into our Expansion Manager and is based out of Mexico Support Office.
A Day in the Life
Working at H&M means no two days are ever the same, but a typical day will include the following responsibilities:
- You coordinate and secure routines for contracts and document handling in your market
- You make sure all contracts are signed correctly and follow up on contract execution
- You advise on missing data or information to secure 100% data accuracy in LIMA and other systems
- You may be responsible for the internal and external transmittal of documents, reports and notices
- You provide data audits on co-tenancy, key dates, rent terms and any other relevant info required by your market
- You partner with legal, controlling, accounting, facilities, construction teams as required to verify lease information and provide support as needed
- You secure that payments are made correctly by providing the relevant info to the accounting department in your market
- You coach and train the expansion functions for correct data input and system management
- You understand the routines and way of working for other expansion functions
- You can extract and present data in a professional way
- On co-tenancy, key dates, rent terms, etc.
- You set the strategy for documentation handling and signatures for your market
- You set strategy for data loads and rental payments together with controlling
- You create and implement routines for contract execution
- You continuously stay up to date on Group routines and propose improved ways of working General Information
- You develop supporting documentation to assist your market’s best way of working
- You have close collaboration with the controlling team as well as with lease managers and other functions in their way of working
- You understand the accounting routines and relevant timelines for payment
- You collaborate with other departments to provide, verify or confirm lease data
- You reach out to lease admins in other markets to share ways of working, processes, templates etc
Qualifications
Who You Are:
- Degree in Law, Business Administration, or a related field
- Proven experience working with contract management or document handling
- Strong legal and contract management skills
- Highly organized and structured, with strong attention to detail
- Solid numerical and accounting understanding
- Strong teamwork and collaboration abilities
- Proficient in MS Office, including Outlook, Excel, PowerPoint, and MS Teams
- Previous experience within controlling or legal functions, either at H&M or within an external organization working with legal documentation and contract management
- You are analytical, methodical, and conscientious, with a structured and organized approach to your work. You are communicative, consultative, and collaborative, contributing positively to team performance and shared goals.
- Advanced proficiency in both English and Spanish.
