Overview
Instacart is hiring an Associate Program Manager to support the Legal Operations function and the systems and workflows that enable the Legal team to operate efficiently. You will focus on execution, tooling support, reporting, documentation, and workflow upkeep across the Legal department.
You will partner closely with Legal and business stakeholders to support intake, maintain tools, troubleshoot issues, and track operational improvements. This is an individual contributor role focused on support and execution rather than ownership of strategy or tooling architecture.
The Legal Operations team supports how Legal work gets done at Instacart. The team builds and maintains workflows, tools, and processes that support contracting, intake, reporting, and day-to-day Legal operations as the business scales.
Legal Operations partners closely with Legal stakeholders and cross-functional teams to improve efficiency, consistency, and visibility across Legal work. The team emphasizes practical execution, clear documentation, and continuous improvement.
About the Job
Intake and workflow support
- Support Legal team intake and ad hoc workflows across a range of legal requests.
- Ensure requests are submitted correctly, routed appropriately, and progressing through systems as expected.
- Provide day-to-day support for intake questions, workflow issues, and process clarifications.
- Identify recurring intake or workflow issues and surface improvement opportunities.
CLM and legal tooling support
- Support the day-to-day operation of the CLM platform, with Ironclad experience preferred.
- Troubleshoot workflow issues related to intake, routing, approvals, execution, and post-signature handling.
- Support testing and validation of workflow updates and tool changes.
- Handle CLM administration tasks including user access, templates, metadata updates, and reporting.
- Support other Legal team tools through basic administration, documentation, and user support.
Data, reporting, and tracking
- Pull data and reports from Legal tools and systems to support operational visibility.
- Maintain trackers and dashboards to monitor workflow volume, turnaround times, and issue trends.
- Support analysis of workflow performance and help track the impact of process improvements.
- Ensure data quality and consistency across reports and trackers.
Documentation and knowledge management
- Create and maintain internal documentation, guides, FAQs, and training materials.
- Support Legal knowledge management in Confluence by organizing, updating, and maintaining content.
- Ensure documentation remains accurate, discoverable, and aligned with current workflows.
Program and project support
- Support Legal Ops initiatives by tracking tasks, timelines, dependencies, and deliverables.
- Assist with rollouts, communications, and change support for new tools or workflow updates.
- Provide clear status updates and flag risks or issues as needed.
Foundational Legal Operations support
- Support administrative Legal Ops work including subscription tracking, spend hygiene, reporting support, and process documentation.
- Assist with research and data gathering to support Legal Ops planning and continuous improvement.
- Support operational consistency across Legal Ops systems and trackers.
AI-enabled tools and efficiency
- Use AI-enabled tools to support drafting, summarization, intake triage, and documentation work.
- Help test and provide feedback on AI tools used in Legal Operations.
About You
Minimum Qualifications
- 2–3 years of experience in legal operations, legal project management, contract operations or a related role.
- Hands-on experience supporting CLM tools or legal workflows, with Ironclad preferred.
- Experience pulling reports, maintaining trackers, or working with operational data.
- Strong organizational skills and attention to detail.
- Comfort supporting systems, troubleshooting issues, and following documented processes.
- Experience working in a fast-paced, technology-driven environment.
- Strong written and verbal communication skills.
Preferred Qualifications
- Experience supporting intake-based workflows in a legal or operations context.
- Experience with CLM administration and reporting.
- Experience with Confluence or similar knowledge management tools.
- Experience with Salesforce or CPQ.
- Familiarity with no-code or low-code workflow tools such as Tonkean.
- Comfort using AI-enabled tools in daily work.

Instacart provides highly market-competitive compensation and benefits in each location where our employees work. This role is remote and the base pay range for a successful candidate is dependent on their permanent work location. Please review our Flex First remote work policy here.
