Join our team serving a U.S.-based long-term care laboratory. You’ll work closely with their dispatch and operations teams to coordinate medical sample pick-ups, communicate with healthcare facilities and drivers, and ensure smooth, on-time deliveries across the New York and New Jersey areas.
Role Overview:
As a Dispatch Support Coordinator, you’ll play a key role in managing day-to-day logistics operations for our client’s laboratory services. This role goes beyond simple scheduling - you’ll be responsible for handling late call-ins, route adjustments, and real-time problem-solving to ensure efficient pick-up coordination. The ideal candidate is proactive, quick-thinking, and comfortable making decisions in a fast-paced environment.
PLEASE NOTE:
- Working Hours: This role requires you to work EST hours Mon - Fri from 6:00pm to 12:00am EST (1:00am to 7:00am South African time - subject to change in accordance with daylight savings in the United States as well as the operational requirements of the Company).
- You will be required to work on both South African and US public holidays (compensation for SA public holidays in accordance with the BCEA)
- Internet Requirements: A fixed fibre line with a minimum speed of 25 Mbps (upload & download) and the ability to support a wired Ethernet connection is mandatory. Applicants without a fixed fibre line cannot be considered.
- Power Backup: A reliable power backup solution is required to manage load shedding and power outages. Applicants without a power backup cannot be considered.
- Work Environment: This is a fully remote working role.
Key Responsibilities:
- Coordinate and schedule pick-ups as calls come in, managing real-time route adjustments.
- Handle last-minute changes, late call-ins, and urgent requests effectively.
- Communicate clearly and professionally with healthcare facilities and drivers.
- Strategically plan routes to maximize efficiency and minimize delays.
- Maintain accurate records of dispatch activity and communication.
- Support general operational and administrative dispatch functions as needed.
Industry Experience (Preferred):
- Previous experience in dispatch, logistics, or transport coordination.
- Familiarity with the New York City area, including the 5 boroughs and New Jersey, is a strong advantage.
Soft Skills:
- Excellent English communication and fluency (both verbal and written).
- Strong critical thinking and problem-solving skills.
- Proactive and self-motivated, with a strong sense of ownership.
- Ability to multitask effectively in a high-pressure environment.
- Dependable, detail-oriented, and adaptable to change.
Technical Skills:
- Proficient in basic computer navigation and MS Office (especially Outlook).
- Comfortable working with web-based tools and communication platforms.
