Universal Television Entertainment is responsible for world-class television entertainment. The division programs and markets content across leading entertainment brands Bravo, NBC and Peacock, and produces over 3,000 hours of television annually through Universal Studio Group, the studio business comprised of Universal Television, UCP, Universal International Studios and Universal Television Alternative Studio. Together, these teams align NBCUniversal’s content and production expertise to inspire global audiences with television that entertains and shapes culture.

Job Description

The primary function of the Business Affairs Coordinator is to efficiently support Business Affairs executives in their day-to-day job responsibilities, while demonstrating an ability to work independently and meet tight deadlines. Solid time management and multi-tasking skills are essential. This position requires an individual who is highly organized, exhibits excellent judgment and demonstrated interest in the film and television industry, is a self-starter, and has an ability to work with a high level of detail, while interfacing with a variety of creative clients and high-level executives (internally and externally) across a wide range of business functions. Additionally, the individual will handle heavy call volume, correspondence, drafting, and invoice processing among other administrative tasks. A high degree of confidentiality and discretion pertaining to all matters and documents is required.

Responsibilities:

  • Handle heavy volume of administrative duties as assigned, including but not limited to, scheduling meetings and phone calls, processing expense reports, arranging travel, and other administrative duties as assigned
  • Research existing databases to find previous relevant agreements, letters, and the like to serve as precedents/templates
  • Draft form agreements and letters using precedent and templates, incorporating new deal terms and other information with accuracy
  • Run relevant document comparisons
  • Distribute and upload documents for completed deals
  • Maintain and update charts, project lists, and status reports
  • Participate in updating data management systems
  • Develop and implement office systems and procedures, which support the overall department’s needs and those of the executives to which this position reports
  • Act as liaison with all internal and external offices with the ability to solve problems strategically and find solutions, as required
  • Field queries from many departments including distribution, program planning, production operations, finance, legal, marketing, press and talent relations
  • Manage special projects as designated, specifically dealing with administrative and coordination issues
  • May provide administrative support to other members of the Business Affairs team and handle other matters as needed at the direction of the team’s executives

Qualifications

Basic Qualifications:

  • Bachelor’s degree
  • 1+ years of experience at a media company, law firm or adjacent industry
  • 2+ years of experience using Microsoft Office (Word, Excel, Outlook, etc.) with a proficiency in PowerPoint and Excel preferred
  • Ability to exercise discretion with sensitive information and flexibility/adaptability to manage multiple, wide-ranging matters, conflicting deadlines, and new areas of expertise as business needs change
  • Excellent administrative and organizational skills
  • Highly detail-oriented with superior verbal and written communication skills
  • Flexible, personable, self-starter with the ability to interface with the creative and production community, as well as all levels of NBCU personnel

Desired Characteristics:

  • Experience in media (preferably at a studio or network) supporting senior executives preferred
  • Familiarity with drafting and redlining agreements and/or legal contracts
  • A team player with strong work ethic who supports and upholds the company’s values
  • Highly motivated self-starter who is proactive and shows initiative
  • Shows comfort or willingness to learn databases and document management systems

Hybrid: This position currently has a hybrid schedule, which requires contributing from the office a minimum of four days per week. The Company reserves the right to change in-office requirements at any time.
