We are seeking a highly organized and detail-oriented Executive Assistant to support our executive team. This role requires someone who thrives in a fast-paced environment, can anticipate needs, and ensures that all administrative processes run efficiently.
Key Responsibilities
Provide direct administrative support to the executive team, including scheduling, correspondence, and calendar management.
Prepare and review documents, reports, and presentations with exceptional accuracy and attention to detail.
Handle confidential information with discretion and professionalism.
Manage email communications, prioritize incoming requests, and follow up on outstanding items.
Coordinate meetings, travel arrangements, and logistics for executives and cross-functional teams.
Support data entry and record management within CRMs and internal systems.
Track deadlines, assist in project coordination, and ensure timely completion of assigned tasks.
Collaborate with different departments and maintain organized digital records across tools like Google Workspace and HubSpot.
To be successful in this role, you should have the following qualifications:
- 4+years as Executive Assistant (preferable to C-suite)
- Fast Typing Ability Minimum typing speed of 55+ words per minute.

- Bilingual Fluency Proficiency in both English and Spanish is required.
- Punctuality: You must be punctual and reliable in meeting deadlines.
- Organization skills and strong organizational abilities are essential for effective task management.
- Open availability you must be available during standard work hours for on-call responsibilities.
- Experience with data entry.
- Experience with CRM, Hubspot, Telegram, and G-suite.
Nice to Have Skills
While not mandatory, the following skills are desirable and will be considered a plus:
- Familiarity with Communication Tools such as Slack or similar and CRM.
- Familiarity with Project Management Tools such as ClickUp or similar.
- A persistent and proactive attitude, willing to follow up on deadlines and communicate with others when needed.
- A curious mindset, comfortable asking questions and seeking answers when faced with unfamiliar situations.
