We are seeking a highly organized and detail-oriented Executive Assistant to support our executive team. This role requires someone who thrives in a fast-paced environment, can anticipate needs, and ensures that all administrative processes run efficiently.

Key Responsibilities

  • Provide direct administrative support to the executive team, including scheduling, correspondence, and calendar management.

  • Prepare and review documents, reports, and presentations with exceptional accuracy and attention to detail.

  • Handle confidential information with discretion and professionalism.

  • Manage email communications, prioritize incoming requests, and follow up on outstanding items.

  • Coordinate meetings, travel arrangements, and logistics for executives and cross-functional teams.

  • Support data entry and record management within CRMs and internal systems.

  • Track deadlines, assist in project coordination, and ensure timely completion of assigned tasks.

  • Collaborate with different departments and maintain organized digital records across tools like Google Workspace and HubSpot.

To be successful in this role, you should have the following qualifications:

  • 4+years as Executive Assistant (preferable to C-suite)
  • Fast Typing Ability Minimum typing speed of 55+ words per minute.
  • Attention to detail. Every detail counts, mention this phrase as your cover letter: Blue strawberries.
  • Bilingual Fluency Proficiency in both English and Spanish is required.
  • Punctuality: You must be punctual and reliable in meeting deadlines.
  • Organization skills and strong organizational abilities are essential for effective task management.
  • Open availability you must be available during standard work hours for on-call responsibilities.
  • Experience with data entry.
  • Experience with CRM, Hubspot, Telegram, and G-suite.

Nice to Have Skills

While not mandatory, the following skills are desirable and will be considered a plus:

  • Familiarity with Communication Tools such as Slack or similar and CRM.
  • Familiarity with Project Management Tools such as ClickUp or similar.
  • A persistent and proactive attitude, willing to follow up on deadlines and communicate with others when needed.
  • A curious mindset, comfortable asking questions and seeking answers when faced with unfamiliar situations.

Job Type

  • Full-time (with slightly irregular hours).

  • Remote Work This is a work-from-home position, preferably open to candidates based in Mexico (Guadalajara preferrable) or LATAM
