At ShipHero we make it easy to manage eCommerce logistics in more ways than one. Our proprietary Warehouse Management Software (WMS) allows our customers to run an efficient warehouse and fulfill customer orders quickly and accurately. Our fulfillment division operates our own warehouses providing fulfillment services for brands across the US and Canada. We want to put this great technology in the hands of more brands, retailers, and 3PLs to help them grow. We’re looking for an FDE Operations Coordinator who will bring structure, clarity, and reliability to our internal workflows and customer‑facing documentation
Location: Remote (anywhere).
Hours: Full-Time. Must work US East Coast hours.
POSITION SUMMARY: The FDE Operations Coordinator is a critical support role responsible for ensuring accuracy, consistency, and operational reliability across Statements of Work (SOWs), contracts, and internal delivery processes.
This is an execution‑focused position where your primary responsibilities center on documentation quality, workflow coordination, and operational tracking. While you will work closely with technical and delivery leaders, this role does not define solutions, architecture, pricing, or project scope. Instead, you transform inputs from engineers and leadership into clean, standardized documents and maintain the operational systems that keep deals and delivery running smoothly.
Your work ensures that nothing falls through the cracks and that the organization operates with clarity, precision, and accountability.
SUPERVISORY RESPONSIBILITIES: None.
ESSENTIAL FUNCTIONS/RESPONSIBILITIES OF THE POSITION:
- Format, standardize, and manage SOWs and contracts (no solutioning, no ownership of terms).
- Convert meeting notes and recordings into clear, accurate, and compliant SOWs.
- Manage document revisions, signature workflows, and final execution.
- Track billing, invoices, payments, deal status, and operational costs for each project.
- Maintain project, deal, and delivery trackers using JIRA and related tools.
- Schedule and coordinate internal and customer meetings.
- Produce basic reporting and status updates for FDE leadership.
- Perform administrative and operational tasks to ensure smooth execution across teams.
KEY CLARIFICATIONS:
- This role focuses on documentation accuracy, operational coordination, and workflow execution.
- Technical scope, architecture, and solution design are defined by engineering and FDE leadership.
- The role partners closely with technical teams but does not own technical decision‑making or project management responsibilities.
POSITION QUALIFICATIONS:
Education: Bachelor’s Degree in Business Administration, Finance, Operations, or a related field is preferred.
Experience:
- 1–2 years of experience in operations, documentation, contract administration, or similar roles.
- Hands-on experience working with JIRA and Agile workflows.
- Experience working with invoices, billing processes, or internal operational systems is a plus.
Skills:
- Strong English communication skills (written and spoken).
- Exceptional organization, attention to detail, and reliability.
- Ability to manage multiple workflows and maintain accuracy under time pressure.
- Comfortable working with contracts, financial documents, and internal operational processes.
- Strong follow-through and a proactive approach to preventing operational gaps.
