We are seeking a dynamic Corporate Secretary Manager (Team Lead) to scale, automate, and lead our AI-driven company secretarial division in Hong Kong.

Reporting directly to the Country Manager, you will execute a dual mandate: safeguarding high-level portfolio governance while directly managing a growing regional team of corporate secretarial professionals. Execute strategic operational oversight by championing an AI-focused culture of continuous improvement, leveraging advanced legal-tech automation to optimize workflow delivery, eliminate bottlenecks, and mentor the team to meet stringent regulatory compliance standards.

Mission of the role:

To lead, mentor, and scale a high-performing, AI-driven corporate secretarial division across domestic and regional hubs, ensuring flawless statutory governance delivery, accelerating speed-to-hire execution, and maximizing operational business ROI.

Outcomes of the role:

  • Regional Team Leadership & Capacity.

Manage, mentor, and optimize the workload of an off-shore team of secretarial professionals in Malaysia and the Philippines, establishing clear baseline metrics to improve productivity and eliminate late-filing risks.

  • Quality Assurance & Portfolio Governance.

Establish and enforce rigorous internal control checks across all entities to ensure zero regulatory omissions or late-filing penalties across the entire regional portfolio.

  • Business Growth & Advisory Retention.

Partner with the Country Manager to support business development initiatives, identifying high-value advisory upsell opportunities within the existing corporate portfolio.

  • Talent Development & AI Adoption.

Conduct regular performance reviews, identify skills gaps, and champion the implementation of internal AI tools to automate team workflows and upskill junior team members.

Responsibilities:

  • Oversee Regional Governance Delivery: Lead and execute the full spectrum of company secretarial operations for a high-value portfolio of clients across Hong Kong and offshore jurisdictions.
  • Perform Quality Assurance Reviews: Act as the final internal checkpoint to review, audit, and approve complex statutory filings, sophisticated corporate resolutions, board minutes, and regulatory filings executed by direct reports and offshore team members.
  • Manage Regional Team Capacity: Balance daily workloads, establish operational performance baselines, and manage productivity for the Hong Kong office and an off-shore hub of 5 secretarial professionals in Malaysia and the Philippines.
  • Drive AI & Automation Adoption: Champion and enforce the day-to-day deployment of internal AI tools and advanced legal-tech platforms within the division to systematically automate repetitive statutory drafting and administrative tasks.
  • Mitigate Regulatory and Compliance Risk: Monitor shifting Hong Kong regulatory frameworks, assess impacts on the client portfolio, and implement strict control workflows to ensure zero late-filing omissions or penalties.
  • Support Strategic Business Growth: Partner directly with the Country Manager on business development initiatives, financial forecasting, corporate client pitches, and identifying high-value advisory upsell opportunities.

Must-have experience:

  • People Leadership: Minimum 2–3 years of direct people management experience in Hong Kong, with a proven track record of managing and reviewing the work of direct reports, including managing off-shore teams in Malaysia and the Philippines.

  • Professional Corporate Secretarial Experience: Minimum 5-7 years of total experience strictly within a fast-paced professional service firm, corporate service provider, or specialized corporate secretarial division

  • Escalation & Risk Management: Proven ability to act as the ultimate checkpoint for quality assurance, ensuring zero late-filing penalties across a complex multi- jurisdictional managed portfolio.

  • Languages: Professional fluency in English with Cantonese preferred to lead localized operations while aligning strategically with the Country Manager.

  • Conflict & Performance Management: Practical experience setting KPIs, managing team capacity, and handling performance issues or hiring bottlenecks

Role specific requirements:

  • Education & Certification: University degree holder in Business Administration, Law, Corporate Governance, or a related field. Full, active HKACG / CGI Chartered Secretary designation is highly preferred.

  •  Professional Track Record: Minimum 7–9 years of dedicated corporate secretarial experience, developed strictly within a fast-paced professional service firm, law firm, or corporate service provider (CSP).

  • Leadership Experience: Minimum 2–3 years of direct people management experience in Hong Kong, including verified historical experience managing off-shore resources in Malaysia and the Philippines.

  • Language Proficiency: Native or professional fluency in both Cantonese and English is mandatory to drive localized operations and communicate with executive stakeholders.

  • Technical Software Mastery: Deep operational proficiency with mainstream corporate secretarial software (e.g., Viewpoint, CSA) and strong structural knowledge of the Hong Kong Companies Ordinance (Cap. 622)

Good to have experience:

  • Qualifications: Full, active HKACG / CGI Chartered Secretary designation is highly preferred for this tier to command authority with high-value clients.

  • AI & Process Optimization: Experience migrating an organization or team from legacy manual systems to AI-driven, digital legal-tech platforms.

  • Business Development: Commercial acumen to assist the Country Manager in client pitching and proposal drafting.
