About the Job
This is a role for a true operations generalist—someone who enjoys building structure, running projects, and improving systems, and who also likes being close to the human side of the work. You’re not an HR specialist, and you’re not a behind-the-scenes systems engineer. You’re someone who takes ownership, creates clarity, solves problems, and follows through—whether that means designing a better workflow, coordinating a team-building event, or handling a small but critical administrative task with care for the people affected by the outcome.
SuperSummary is growing fast, and we’re expanding our Operations function to match. As Operations Specialist, you’ll manage the team-facing systems and experiences that keep the company running smoothly as we inspire millions to engage deeply with the books they read.
Key Responsibilities
Process Design & Improvement: Document and refine workflows. Identify inefficiencies through data analysis, test solutions, and implement improvements that scale with the company.
Internal Communication & Knowledge Management: Maintain clear, accurate company information in Notion and Slack so teams know where to go, what’s changing, and what’s expected of them. Ensure updates reach the right audiences and information architecture supports team efficiency.
Team Engagement & Culture: Coordinate celebrations, events, and All Hands meetings with clear goals, logistics, and follow-through to build connections across our distributed team. Partner with the Operations Manager and leadership to design programs that foster growth, recognition, and belonging.
HR Administration (lightweight but critical): Administer and maintain workflows in Rippling and Deel for both U.S. employees and global contractors, ensuring accuracy and compliance.
Onboarding & Offboarding: Lead logistics for new hires and departures: administrative recruitment support, welcome sessions, tool setup, documentation, and access management. Deliver a seamless, trustworthy first and last impression.
Data & Reporting: Prepare and maintain workforce data, metrics, and surveys, and surface insights for leadership review. Identify trends and flag insights that inform strategic decisions.
Cross-Functional Collaboration: Partner with company leadership — the Executive Team, Finance, and Department Heads — on team-facing workflows, budgeting, and company-wide initiatives.
Requirements
What You Bring
3+ years in cross-functional operations roles spanning systems, coordination, and team support
Experience coordinating operations across distributed teams in multiple time zones
Strong analytical and systems thinking skills—you confidently take on problems with incomplete information, determine what data to collect, then use insights to improve or standardize processes
Exceptional attention to detail with initiative to proactively identify and solve problems before they escalate
Excellent communication skills—you balance different audiences, close loops, and keep stakeholders informed; you’re also comfortable being visible, responsive, and human in a remote-first environment
Bias toward action and operational ownership—you move from analysis to execution and follow-through
Comfortable using AI tools to streamline workflows and surface insights
Adaptable and resourceful in ambiguous or changing environments
