Customer Success & Scheduling Virtual Assistant (Electrician & HVAC Services)

We are a growing electrical and HVAC company seeking a Virtual Assistant to manage inbound warm leads, coordinate appointment scheduling, and assist with basic administrative tasks. This is not a cold-calling sales role — customers have already expressed interest and are waiting to be contacted.

The ideal candidate is proactive, organized, self-motivated, and excellent at customer communication and follow-through. There is strong potential for this role to grow with the company.

RESPONSIBILITIES:

  • Respond promptly to incoming customer inquiries via website forms, Thumbtack, Facebook, Instagram, Nextdoor, or phone/text.
  • Follow up with warm leads to schedule service appointments efficiently.
  • Own and manage the master technician scheduling calendar during core business hours.
  • Coordinate hand-offs with the evening/weekend part-time administrator to ensure seamless scheduling.
  • Communicate with technicians regarding assigned jobs.
  • Use company tools (Pazerware, Slack, Trello, HubSpot, Gmail, Google Sheets) to track communications and job assignments.
  • Post pre-written content on social media platforms (Facebook, Instagram, Nextdoor) for brand presence consistency.
  • Assist with tracking and lightly managing inbound leads from Devi AI and other platforms.
  • Provide customer-friendly responses; complex estimates will be handled directly by technicians.
  • Initiative-taker with strong problem-solving skills.
  • Capable of maintaining consistent energy and focus over time.
  • Flexible and adaptable to evolving small business processes.
  • Comfortable operating in a fast-paced, customer-first environment.
  • Friendly, professional demeanor — able to empathize with occasionally stressed customers.

QUALIFICATIONS:

  • Excellent written and verbal communication skills.
  • Strong organizational and scheduling abilities.
  • Self-motivated with the ability to maintain momentum without direct supervision.
  • Comfortable working independently and taking ownership of assigned tasks.
  • Familiarity with online communication platforms (Slack, Gmail, basic CRM usage).
  • Strong follow-up skills to ensure timely scheduling.

Preferred Qualifications (training can be provided if needed):

  • Experience with Payzerware or similar service industry scheduling software.
  • Familiarity with HubSpot, Trello, Google Sheets.
  • Basic familiarity with social media (Facebook, Instagram) posting and messaging.
  • Previous experience supporting a service-based business is a plus.
