Event Sponsorship Operations Manager (contractor, part-time)
Position Overview
This position supports the successful execution of the Global Digital Health Forum (GDHF) by managing critical aspects of sponsorship fulfillment and operations. The role encompasses both pre-event and on-site responsibilities, ensuring that sponsors receive high-quality service and deliverables aligned with their support tier. The scope includes coordinating sponsor logistics, session planning, marketing assets, invoicing, and post-event engagement.
A key component of this role is on-site presence at GDHF in Nairobi, Kenya, where the individual will manage the show flow in the main room and provide direct support to sponsors.
Ideal for an organized, detail-oriented professional, this position plays a vital role in delivering a seamless experience for GDHF sponsors and contributing to the forumβs financial and operational success.
Workstream Overview
This scope of work outlines the tasks and estimated hours associated with GDHF Sponsorship Fulfillment and Sponsorship Operations, totaling 270 hours .
Sales Operations
This workstream supports the sponsorship sales cycle by developing templated agreements, facilitating contract execution, and ensuring timely invoicing to sponsors for streamlined revenue operations.
Sponsorship Fulfillment
Pre-event, this workstream includes coordinating sponsor assets (like logos and ticket codes), managing session logistics, and ensuring alignment with the events team to prepare a seamless sponsor experience.
On-site*, it involves direct sponsor support, coordination of exhibition booths, interviews, and main stage show flow to ensure sponsor visibility and satisfaction throughout the event.
Post-event, the focus shifts to closing out payments, sharing recordings and tailored reports, and maintaining sponsor engagement through thoughtful follow-up and content dissemination.
*in Nairobi, Kenya, Dec 1-5, with prep day on Dec 2 and live event days on Dec 3-5.
Timeline
July 15 - August 15, 2025: Onboarding & ramp up period (remote)
August 16 - November 30, 2025: Sales Operations & Sponsorship Fulfillment support (remote)
Dec 1-5, 2025: Live Event Sponsorship Fulfillment Support (Nairobi, Kenya)
Dec 6-31, 2025: Post Event Sponsorship Fulfillment Support (remote)
Qualifications
- 5 years of experience in business development, client services, customer success, or a related field, ideally working with clients in the nonprofit, social impact, or global health sectors.
- Demonstrated success in a client-facing role in at least 2 large-scale, in-person events.
- Exceptional client-facing/customer service skills.
- Strong organizational and project management skills with attention to detail.
- Proficiency with project management tools (e.g., Monday.com, Excel/Google Sheets).
- Comfortable using AI tools (e.g., ChatGPT, Claude) to support workflow automation.
- Experience working with virtual or hybrid events preferred.
Compensation
The compensation for this role is $40/hour USD . We will also cover the cost of your travel to Nairobi, Kenya (December 1-5, 2025).
Work Location
This is a remote, contract-based role with flexible hours with one required on-site trip (Nairobi, Kenya, December 1-5, 2025).
While this position could be based anywhere, we do require availability during U.S. Eastern Time (EST) and East Africa Time (EAT) hours pre and post-event.
