About The Role

We are seeking a highly organized, proactive, and discreet Executive Assistant to provide comprehensive administrative and operational support to three C-level executives: the CCO, VP of Revenue, and Head of Marketing. The ideal candidate will be a master of time management, communication, and multitasking, capable of maintaining efficiency and professionalism in a dynamic, fast-paced environment.

Key Responsibilities

  • Coordinate complex scheduling and meeting arrangements across time zones for three executives; anticipate and resolve conflicts.
  • Plan and manage domestic and international travel including flights, accommodations, ground transportation, and detailed itineraries.
  • Prepare agendas, take and distribute minutes, manage logistics, and follow up on action items.
  • Serve as a liaison between the executives and internal/external stakeholders; draft, proofread, and manage high-level correspondence.
  • Assist in the execution of strategic projects, maintaining timelines, tracking deliverables, and ensuring deadlines are met.
  • Organize and maintain confidential files and records; prepare reports, presentations, and briefing materials.
  • Process and reconcile expense reports, corporate credit card usage, and vendor invoices in a timely manner.

Skills and Qualifications

  • Strong command of the English language, both written and verbal, with a professional tone and attention to detail.
  • At least 5 years of experience as Executive Assistant, preferably in a high-performing start-up environment.
  • Proven ability to handle confidential information with discretion.
  • Strong organizational and time management abilities.
  • Advanced proficiency in Slack, Notion, Asana, Excel, Google Suit
  • Demonstrated ability to manage multiple priorities with a calm and positive attitude.
  • Advanced organizational abilities with the capacity to manage several complex projects in tandem.
  • Quick learner with a knack for technology, who can figure out new systems and adapt on the go.
  • Ability to complete daily tasks with little to no direction
