I’m looking for an Executive Assistant to the CEO - someone mature, confident, and assertive who can stay three steps ahead and protect me from myself.
You’ll keep things running smoothly in the background, handle communications, organize tasks and schedules, and help me win back time in my day.
In this role, you will:
📬 Manage and triage emails, including flagging those that need CEO input
📅 Coordinate calendars and scheduling for both work and personal matters
📦 Sort, route, and manage mail and faxes
✈️ Organize travel and meetings, including while traveling
🔍 Conduct online research, including market and contractor sourcing
📁 Maintain digital filing systems and documents
📈 Prepare reports, presentations, and documents with high attention to design and clarity
🗣️ Support communication and delegation by ensuring tasks are tracked and completed
👥 Help prioritize and take items off the CEO’s plate
🧩 Jump into various admin tasks and do sales admin as needed
Your work will be a mix of recurring weekly responsibilities and one-off requests that may need same-day or 24-hour turnaround.
⏰ Working hours are ideally full-time, from 12 PM to 8 PM CET (5 AM to 1 PM Chicago time), with some flexibility. There will be a daily morning call during the CEO’s commute to discuss inbox items and priorities.
To excel in this role, you need to have:
✅ 3+ years as an Executive Assistant, supporting a CEO or founder
✅ Experience in a startup environment
✅ Excellent written and spoken English
✅ Strong organizational and calendar management skills
✅ Experience with AI and Automation tools
✅ Solid understanding of cloud-based tools and software
✅ High attention to detail - especially in writing and formatting
✅ Discretion and professionalism with sensitive information
✅ Ability to take initiative and work independently
✅ Comfort managing both personal and business tasks
Brownie points for:
🌟 Familiarity with inbox management tools
🌟 Design eye for making documents and slides look great
🌟 Experience coordinating contractors or vendors

What’s in it for you?
💰 $2,000–$2,250*
🕒 Full-time, fully remote
📍 20 days of paid time off
