Role: Executive Assistant (Spanish-Bilingual)

Work Arrangement: Fully Remote

Job Type: Independent Contractor, Full-time

Work Schedule: Monday–Friday, with at least 8:00 - 5:00 PM Mountain Time, with flexibility for urgent items

Location: Remote, open to candidates in LATAM

Role Overview:

Our partner needs an Executive Assistant to support the CEO across two fast-growing businesses. This role will serve as a central pillar in organizing operations, managing calendars and communications, assisting with research and M&A support, and enabling the CEO to function at maximum efficiency.

Core Responsibilities

  • Executive Support: Manage the CEO’s schedule, inbox, meetings, and task list with precision.
  • Operational Efficiency: Maintain SOPs, coordinate team logistics, and support operational organization across both companies.
  • Communication Management: Draft emails to clients, prospects, and internal stakeholders. Keep relationships warm and updates flowing.
  • Research & Reporting: Conduct industry research, product deep-dives, competitive analysis, and prepare summary briefs.
  • M&A & Special Projects: Assist in light due diligence, document prep, and communications related to acquisition targets.
  • Tool Ownership: Manage QuickBooks (if applicable), Microsoft Office, AI tools (ChatGPT, Perplexity, etc.), and eComm platforms (Amazon, Shopify).

Candidate Preferences & Requirements:

Language & Culture Fit:

  • Fluent in English with a neutral accent—must be easy to understand in fast-paced business conversations.
  • LATAM preferred, given cultural fluency and timezone alignment.
  • Spanish is a plus, especially for occasional translations and informal communication

Required Skills / Experience:

  • 5+ years experience supporting C-level executives in high-growth or multi-entity environments.
  • Strong command of Microsoft Office, QuickBooks, Shopify, Amazon Seller Central, and AI tools.
  • Deep organizational skills—ability to handle multiple priorities, overlapping deadlines, and cross-functional stakeholders.
  • Excellent writing and communication skills— must be able to ghostwrite professional emails and communicate with both internal staff and external clients.
  • Research-savvy—comfortable synthesizing information from multiple sources and turning it into clear action items.
  • Familiarity with M&A, legal document prep, or investor relations is a major bonus.

  • Google Workspace (Docs, Sheets, Calendar, Gmail)

  • Microsoft Office Suite (especially Excel and Outlook)

  • QuickBooks (strongly preferred)

  • Amazon Seller Central / Shopify (nice-to-haves)

  • Pipedrive, Notion and other CRM software

  • ChatGPT / Perplexity / Claude (for drafting, research, SOP writing)

  • Zoom / WhatsApp / OpenPhone
